Position Overview
We are looking for a highly driven and efficient PBX Specialist whose primary focus is keeping provider schedules full and optimized at all times . This role is critical to the success of our clinics. The number one priority is getting patients scheduled and maintaining a full schedule at least 2–3 months in advance .

If you are fast, organized, and know how to take control of a phone call while delivering great service, this role is for you.

Key Responsibilities

• Execute high-volume outbound calls (80%) to schedule patients, confirm appointments, and fill gaps in provider schedules 
• Manage inbound calls (20%) , assisting patients and directing them through the phone system appropriately 
• Ensure provider schedules are consistently full for the next 2–3 months
• Proactively identify open slots and immediately work to fill them 
• Navigate and manage a multi-line PBX phone system efficiently 
• Route patients accurately to the correct department or provider 
• Schedule appointments with speed, accuracy, and attention to detail 
• Document all interactions clearly within the system 
• Work closely with the front desk, providers, and leadership to maintain strong patient flow

Experience

• No medical experience required – we will train you
• Experience in call centers, scheduling, or customer service is a plus
