We are looking for a highly driven and efficient PBX Specialist whose primary focus is keeping provider schedules full and optimized at all times . This role is critical to the success of our clinics. The number one priority is getting patients scheduled and maintaining a full schedule at least 2–3 months in advance . If you are fast, organized, and know how to take control of a phone call while delivering great service, this role is for you. Key Responsibilities
- Execute high-volume outbound calls (80%) to schedule patients, confirm appointments, and fill gaps in provider schedules
- Manage inbound calls (20%) , assisting patients and directing them through the phone system appropriately
- Ensure provider schedules are consistently full for the next 2–3 months
- Proactively identify open slots and immediately work to fill them
- Navigate and manage a multi-line PBX phone system efficiently
- Route patients accurately to the correct department or provider
- Schedule appointments with speed, accuracy, and attention to detail
- Document all interactions clearly within the system
- Work closely with the front desk, providers, and leadership to maintain strong patient flow
- Strong focus on results and performance , especially around scheduling volume
- Excellent multitasking ability in a fast-paced environment
- Computer-savvy with the ability to learn systems quickly
- Clear, confident, and professional communication skills
- Strong organizational skills and attention to detail
- Ability to stay efficient under pressure and high call volume
- Positive attitude with a team-oriented mindset
- Self-motivated and dependable
- No medical experience required – we will train you
- Experience in call centers, scheduling, or customer service is a plus
- Fast-paced, team-driven clinic setting
