Admissions Manager

Overview The Admissions Manager is responsible for the oversight of animal admission into Seattle Humane, including coordinating transfers in for adoption with other animal welfare organizations and intake of surrendered pets from the public. The role focuses on being a resource for adoptable pets in the community, decreasing lifesaving gaps, and building reliable incoming sources of pets for adopters. The Admissions Manager reports to the Senior Operations Manager; Admissions and Behavior to deliver the department’s budgetary and strategic goals, and provides leadership to develop, implement, and evaluate department programs and services. Benefits Health, dental, vision and more 3 weeks paid time off + 10 paid holidays 403b with employer match Sign-on bonus: $2,000 at time of hire Full list of benefits and perks available Compensation Non-Exempt role — Starting Wage: $34.50–$37.00 / hour Responsibilities In conjunction with the Senior Operations Manager, Admissions and Behavior, provide strategic direction for intake procedures, pathway planning, and population diversity goals for transferred and surrendered pets Monitor intake trends and provide feedback and oversight regarding intake decisions Collaborate with other Animal Care Managers to manage intake processes, including animal population and capacity planning, ensuring smooth operations Participate in discussions regarding current animal populations, providing insights, data, and recommendations as needed Directly supervise the Admissions Supervisor; work with the Admissions Supervisor to supervise Admissions Coordinators including hiring, training, scheduling, and setting performance goals Maintain department compliance with safety, health, and labor regulations Act as Volunteer Captain for Admissions Volunteers Collaborate daily with other Operations departments to address interdepartmental needs and animal cases Write or edit communications when appropriate (memos, newsletters, SOPs, grants for operational needs) Prepare and submit department reports and data, including monthly statistics, board reports, and grant/fund tracking documentation Submit department budget requests and follow established annual budget amounts for assigned accounts Perform other duties as assigned Secondary Responsibilities Promote a positive and cooperative work environment with mutual respect and open communication Contribute to the improvement of shelter services, programs, and workplace conditions by participating in meetings and offering ideas Ensure timely reporting of health, safety, or behavior concerns to maintain a secure and well-functioning department Supervisory Responsibility Directly supervise the Admissions Supervisor and indirectly supervise Admissions Coordinators and volunteers, fostering an environment of support, growth, and accountability Communications / Interpersonal Contact Regular communication with the Senior Operations Manager; Admissions and Behavior regarding concerns, ideas, and updates Daily collaboration with other Operations departments on interdepartmental concerns and needs, and animal cases Daily communication with all staff and volunteers in person or through email, procedures, memos, or direct mail Regular contact with clients in person, by telephone, email, or direct mail Regular contact with other animal welfare agencies May act as representative of Seattle Humane for donor and media events Complexity A high degree of independent judgment is required. The role involves coordinating staff and volunteers and maintaining focus on agency goals and objectives. Strong attention to detail and the ability to respond to unexpected questions or requests from other divisions or the public are required. The ability to motivate, negotiate, and mediate is important when handling diverse personalities and emotions. Excellent communication and cultural competency with people from varied backgrounds are essential. The role requires strong customer service skills and teamwork. Knowledge / Experience / Education or Training At least 2 years of experience in an animal welfare setting At least 2 years of supervisory or managerial experience Customer service experience, especially with clients in highly emotional and stressful situations Knowledge of trauma-informed care practices preferred Previous experience supervising and/or training staff and volunteers required Excellent oral communication skills Clear writing and effective listening Strong organizational and planning skills to determine work priorities and manage a budget Ability to analyze problems and develop appropriate solutions; ability to understand statistical information At least two years of employment in an animal shelter or related animal welfare experience Experience with PetPoint preferred Customer service experience highly preferred Licenses / Certificates Required High school graduate or GED CPR / first aid and mental health first aid certification capability Valid Washington State driver’s license with good driving record Physical / Mental Requirements Must be comfortable administering medications and injections Ability to have difficult conversations with staff, volunteers, clients, and other shelters regarding placement options and euthanasia in a sensitive manner Comfort interacting with people in escalated emotional states Ability to stand for long periods, walk quickly, and restrain cats and dogs for medical procedures Ability to lift and carry at least 50 pounds; ability to control dogs up to 200 pounds on a leash; ability to crouch and kneel as needed Willingness and ability to drive long distances in challenging weather and traffic Bilingual is a plus Working Conditions General office and animal shelter environment. Potential for animal bites, exposure to zoonotic diseases, dander, and noise. May involve working with irate customers. Occasional entry into night shifts and handling of animals in various work areas. Equipment used includes: computer, printer, office supplies, multi-line telephone, copier, calculator, safety equipment, syringes, animal restraint equipment, muzzles, gloves, leashes, washing/drying equipment, cleaning supplies, and shelter vehicles. Frequent use of shelter vehicles and occasional use of dog restraint equipment. Chemical interaction: cleaners, disinfectants, detergents, and medical products are used daily. Safe use instructions and MSDS sheets are available; consult a supervisor for unfamiliar products. Work Hours Full-time, non-exempt. 40 hours per week. Schedule may vary. Availability for evening and/or weekend hours, and for emergency calls.
