Job Title Construction Paralegal Location In‑Person, Newark, New Jersey 07105 Job Type Full‑Time (M‑W: in‑office, Th‑F: Remote) Start Date June 2026 Pay Scale $35–$40 per hour Summary of Responsibilities Haas Media seeks to hire a Paralegal (Project Management Specialist) to support the legal and project coordination functions for a major engineering infrastructure initiative related to the Hudson Tunnel Project. This role supports the engineering infrastructure legal team while also assisting with project coordination, compliance tracking, stakeholder communication, and operational management. The ideal candidate will possess strong organizational, administrative, legal support, management, and project coordination skills, with experience in the construction and/or engineering field. This position requires the ability to manage multiple priorities, maintain detailed records, coordinate across teams, and support project deliverables in a fast‑paced environment. Key Responsibilities Document Management & Project Coordination Organize, maintain, and track legal documents, contracts, project records, and compliance documentation using document management systems. Assist with the preparation, editing, and formatting of legal documents, correspondence, reports, presentations, and project materials. Maintain project tracking systems, logs, schedules, and document control processes. Support coordination of project deliverables, timelines, and administrative workflows across departments. Track action items, deadlines, and outstanding requests to support project management functions. Administrative & Operational Support Maintain organized physical and digital records and filing systems. Assist with billing, invoicing, budget tracking, and administrative reporting for legal and project‑related services. Support meeting coordination, scheduling, agenda preparation, and follow‑up communication. Board governance support, including taking minutes, managing records and files in the law department, and assisting with transactional documentation. Assist with project reporting, status updates, and internal coordination efforts. Legal Research & Support Conduct legal research on statutes, regulations, and case law relevant to infrastructure, environmental, transportation, and construction matters. Summarize findings and provide memoranda to attorneys, project managers, and leadership teams. Support legal and compliance review processes related to project operations and documentation. Public Record Response & Compliance Track receipt of public record requests, responses, appeals, and associated deadlines. Search for electronic information to respond to discovery requests and maintain litigation holds. Coordinate with engineering personnel on the collection of data and documents responsive to document requests. Review responsive documents and identify information requiring redaction based upon applicable laws and regulations in coordination with attorneys and relevant parties. Prepare responses to requests for records in consultation with attorneys. Draft responses to appeals in consultation with attorneys. Stakeholder & Project Team Coordination Liaise with internal teams including engineering, procurement, compliance, and project management personnel regarding project deliverables and legal documentation. Coordinate with external counsel, consultants, contractors, and stakeholders regarding agreements, records, and compliance matters. Support cross‑functional communication to ensure timely completion of project objectives and deliverables. Assist with coordination of third‑party agreements necessary for project execution. Board & Meeting Support Coordinate scheduling of meetings with Commissioners and project stakeholders. Prepare draft minutes for Board and Committee meetings in consultation with attorneys. Track and maintain Board minutes, resolutions, and supporting documentation for archiving and compliance purposes. Assist with meeting logistics, document preparation, and follow‑up action tracking. Compliance & Project Tracking Support Track compliance obligations under federal and state laws and communicate responsibilities to affected officers and employees. Maintain records related to satisfactory completion of compliance obligations. Track compliance obligations under engineering and construction contracts. Assist with monitoring project milestones, reporting requirements, and regulatory documentation. Support project management staff with administrative coordination and compliance tracking activities. Qualifications Bachelor’s degree required; Paralegal Certificate optional. Experience in construction, engineering, infrastructure, transportation, or government‑related projects preferred. Familiarity with contract administration, public procurement, project coordination, and regulatory compliance is highly desirable. Strong written and verbal communication skills. Proficient in Microsoft Office Suite and legal document management software. Strong organizational, administrative, and project coordination skills.
