We're looking for an organized, proactive Service Operations & Logistics Coordinator to join our team in Wood Dale, Illinois.

\n

\n

This position is ideal for someone who enjoys coordinating schedules, communicating with customers, solving problems, and keeping multiple projects moving forward.

\n

You'll work closely with our Quality/Service Manager, field service technicians, customers, and internal departments to help ensure service work is scheduled, tracked, and completed efficiently.

What You'll Do\n

Service Scheduling & Customer Coordination

\n

\n
• Contact customers to schedule and confirm onsite calibration, inspection, maintenance, and repair appointments.
\n
• Maintain and update service calendars, coordinate appointment changes, and follow up on scheduling requests.
\n
• Communicate with customers regarding service appointments and outstanding requests.
\n
• Assist with coordinating return visits and resolving scheduling issues.
\n

Service Administration & Follow-Up

\n

• Monitor open service orders and projects to identify delays, outstanding issues, and work requiring follow-up.
\n
• Take initiative to investigate routine issues and ensure appropriate next steps are completed.
\n
• Monitor the Service Inbox, respond to customer inquiries, and coordinate requests with technicians and other departments.
\n
• Distribute completed and approved calibration reports to customers.
\n
• Follow up on overdue or unconfirmed purchase orders with vendors.
\n
• Maintain accurate service information and supporting documentation in NetSuite.
\n

Rental & Logistics Coordination

\n

\n
• Coordinate rental equipment delivery and pickup schedules.
\n
• Arrange occasional LTL, truckload, and specialized freight shipments.
\n
• Obtain freight quotations, coordinate carriers, and help resolve unusual shipping issues.
\n
• Work with our existing Shipping/Receiving team on equipment availability, shipment coordination, and special handling requirements.
\n

\n What We're Looking For\n

\n
• Two or more years of experience in service coordination, scheduling, dispatch, customer service administration, or similar operations roles preferred.
\n
• Excellent organizational skills and the ability to manage multiple priorities.
\n
• Strong written and verbal communication skills.
\n
• Ability to work independently, follow through on outstanding tasks, and recognize when issues require escalation.
\n
• Strong computer skills and the ability to learn new software and business processes.
\n
• Experience with ERP systems, scheduling software, or NetSuite is helpful but not required.
\n
• Experience in industrial equipment, field service, distribution, or technical service businesses is a plus.
\n
• High school diploma or equivalent required; relevant practical experience is valued.
\n
