We are seeking a highly organized and detail-oriented Marketing Operations Coordinator to support our marketing team with campaign tracking, billing reconciliation, and administrative coordination. Position Overview

This role is responsible for ensuring accuracy, organization, and execution of marketing campaigns and financial tracking processes . The ideal candidate is someone who enjoys working in spreadsheets, tracking details, reconciling information, and coordinating across multiple stakeholders.

You will work closely with the Media Manager and Marketing team to support advertising initiatives and ensure all campaign data, billing, and documentation are accurate and up to date.

Key Responsibilities

Campaign Tracking & Reporting

• Review and verify weekly activity logs to ensure accuracy of scheduled advertising placements
• Track and reconcile ordered vs. delivered advertising (e.g., ads scheduled vs. ads aired)
• Maintain organized reporting spreadsheets and update campaign performance data
• Compile and maintain documentation for active campaigns (including logs, reports, and records)

Billing & Expense Reconciliation

• Process and reconcile monthly vendor invoices against internal tracking reports
• Track marketing-related expenses, including credit card transactions
• Maintain accurate records of marketing spend and identify discrepancies
• Communicate with vendors and internal teams to resolve billing issues as needed

Administrative & Operational Support

• Maintain organized files, reports, and marketing documentation
• Coordinate communication with external vendors and internal stakeholders
• Support campaign execution by ensuring all materials and tracking tools are up to date
• Assist with special projects and cross-functional initiatives as needed

Competitive & Market Tracking

• Assist with compiling weekly reports on competitor advertising activity
• Track and organize market data and insights for internal use
• Monitor trends and maintain documentation of competitor activity

Qualifications

• Bilingual in English and Spanish (required)
• Bachelor’s degree in Marketing, Business Administration, Communications, or related field (or equivalent experience)
• 1–3 years of experience in an administrative, operations, billing, or coordinator role
• Strong proficiency in Microsoft Excel (data tracking, organization, and reporting)
• Excellent organizational skills and attention to detail
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment
• Strong written and verbal communication skills

Preferred Qualifications

• Experience with invoice processing, billing reconciliation, or expense tracking
• Experience supporting marketing, operations, or finance teams
• Familiarity with reporting tools or databases (training provided for industry-specific platforms such as Nielsen and MediaRadar)
• Experience in a law firm or professional services environment is a plus
