Job Summary

We are seeking a highly organized and tech-savvy Webinar Coordinator for a 13-week temporary contract assignment in Lake Mary, FL. This hybrid opportunity is ideal for a detail-oriented professional who enjoys coordinating moving pieces, supporting presenters, and helping virtual events run smoothly from planning through completion.

The Webinar Coordinator will support the planning, setup, execution, quality control, and reporting of professional webinars. This role works closely with internal teams such as Marketing, Operations, Sponsorship, IT, and production, creating a collaborative environment where strong communication and follow-through are essential. The position offers a balanced hybrid schedule, exposure to webinar and event technology, and the opportunity to contribute to high-quality educational and professional online events.

Key Responsibilities

- Coordinate schedules for live and pre-recorded webinars, including webinar calendars, intake processes, key deadlines, recording sessions, and live event logistics.
- Communicate with speakers and presenters regarding timelines, requirements, agreements, materials, onboarding documents, and session confirmations.
- Review webinar presentations for formatting, consistency, learning objective alignment, and required compliance components.
- Assist with webinar setup in Cvent and coordinate with IT, production teams, and internal stakeholders to support smooth session delivery.
- Support live and pre-recorded webinar activities, including audience engagement tools, Q&A, polling, and quality assurance checks.
- Maintain tracking documents and Smartsheets, monitor registration and engagement metrics, and assist with post-webinar reporting, evaluations, and content archiving.

Compensation and Benefits

- Pay: $25.00 per hour.
- Assignment length: 13-week contract assignment.
- Location: Lake Mary, FL 32746.
- Schedule: Hybrid, 3 days in office and 2 days remote.
- Flexibility may be required for additional days onsite based on business needs.

Required Qualifications and Skills

- Coordinate webinar planning, scheduling, intake, logistics, and execution for live and pre-recorded sessions.
- Support speakers and presenters by managing timelines, materials, agreements, onboarding information, and session confirmations.
- Perform quality control reviews of webinar content and presentation materials.
- Maintain tracking documents, monitor engagement metrics, and support reporting and content archiving.

- 3-5 years of professional experience in coordination, events, webinars, virtual programs, marketing operations, administrative support, or a related function.
- Strong project coordination skills with the ability to manage multiple deadlines, priorities, and details simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail, organization, follow-through, and time management.
- Comfortable learning and adapting to new technology platforms and processes.
- Proficiency with Excel and Smartsheet preferred for tracking, reporting, and documentation.
- Ability to collaborate effectively with cross-functional teams, including Marketing, Operations, Sponsorship, IT, and production teams.

Preferred Qualifications

- Experience coordinating speakers, volunteers, presenters, or subject matter experts.
- Experience with webinars, virtual events, online learning programs, or professional education events.
- Experience using Cvent or other webinar, registration, or virtual event platforms.
- Familiarity with audience engagement tools such as Q&A, polling, and webinar evaluation features.
