Mailroom & Office Services Associate Fort Collins, CO (onsite) 3+Month Contract M-F (8:00 AM - 5:00 PM) Driving: It is doubtful, but in an emergency, they may be asked to use their own automobile

Provides on-site operations support in one or more areas including high-volume duplicating, production, sorting, mailing, bindery, copying, shipping and receiving, mail/fax handling, postage, scanning/imaging, file services, reception, quality control, final checks, hospitality, meeting room setup, building support, and light maintenance.

The position supports daily mail runs and may involve riding along from stop to stop across the city, posting and distributing mail, assisting with office services, and extensive walking. The employee should be self-sufficient and able to work independently without constant supervision.

Responsibilities

• Operate high-volume and production copy machines and perform binding and finishing work.
• Perform copying, sorting, mailing, faxing, scanning, imaging, filing, archiving, and document handling.
• Operate and maintain convenience copiers; perform daily quality inspections, clear paper jams, identify problems, and notify technicians when needed.
• Perform basic equipment troubleshooting and escalate service calls to technicians.
• Set up equipment as required, including adding toner and stocking paper and supplies.
• Maintain copier areas so they remain clean, organized, and well stocked.
• Assist with daily mail runs, posting mail, and distributing incoming and outgoing mail, fax transmissions, and supplies.
• Respond to and coordinate customer service calls and answer questions regarding job status or feasibility.
• Maintain records, daily meter logs, service logs, inventory records, job logs, and management reports.
• Calculate charges for completed jobs and maintain required logs and reports.
• Ship and receive materials and supplies, including occasional shipping, receiving, and dock work in a mailroom environment.
• Determine appropriate packing methods and materials and verify incoming packing slips for accuracy.
• Deliver completed jobs to predetermined customer locations within and outside the site.
• Perform filing duties, including purging and archiving old documents when required.
• May perform reception and telephone duties on a temporary or occasional basis.
• May perform meeting room and conference room setup.
• May assist with building occupant moves within assigned facilities.
• May perform light maintenance, cleaning, hospitality, and other building support duties.
• May travel between customer buildings as required.
• May work occasional nights, weekends, overtime, or off-hour emergency assignments.
• Use shrink-wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, scales, postage meters, fax machines, calculators, PCs, and other related equipment.
• Use copier equipment and related office technology to complete assigned work.
• Capture required data for operational reports, service records, and job logs.
• Maintain understanding of applicable services, equipment, and technology.
• Perform other duties as assigned.

Requirements

• High school diploma or GED and 12 years of related work experience.
• Some related copy/print or office services experience preferred.
• Basic computer skills, including proficiency in MS Office Suite.
• Working knowledge of copiers and related equipment and repair preferred.
• Knowledge and understanding of shipping and receiving procedures.
• Basic electronics knowledge preferred.
• Ability to work independently and flexibly to complete projects with minimal supervision.
• Ability to determine appropriate packing methods and materials and verify packing slips for accuracy.
• Ability to comprehend and follow instructions concerning mail delivery.
• Strong troubleshooting and problem-solving skills.
• Ability to read and understand written technical information, including manuals, parts books, and related publications.
• Excellent customer service, customer relations, telephone, and verbal communication skills.
• Ability to perform extensive walking as required for mail runs and on-site services.
• May require a valid driver's license and minimum auto insurance coverage.
• Ability to support occasional travel between customer buildings.
• Ability to work occasional overtime, nights, weekends, or emergency assignments when required.
