Project Analyst

Overview The Project Analyst provides executive-level support to the Vice Chair of Faculty Affairs and, as needed, to other faculty within the Colorectal Surgery Section in the Division of Surgical Oncology. The role includes analytical and project support for the Chief Value Officer/Executive Medical Director for the Surgery Faculty Practice, with responsibilities to gather information, develop work plans, and coordinate pilot projects aimed at designing and implementing clinical care workflows to improve quality, safety, access, and efficiency of Department of Surgery elective surgical care practices. The position works with the Chair’s office Finance Unit and Dr. Finlayson to analyze and create Department of Surgery reports, including metrics on new patient visits, time to appointment, revenue, satisfaction of referring physicians, and operating room utilization. The analyst coordinates the Department of Surgery Faculty Mentoring program (maintaining a mentoring database, researching and submitting annual program reports, scheduling meetings, ensuring compliance with documentation requirements, and updating mentor/mentee lists for the SOM Faculty Mentoring Program). They also support HR processes and collaborate with the Operations Manager to support administrative, research, and clinical duties for the Colorectal Surgery section. Responsibilities Act as a high-level executive liaison between Dr. Finlayson, Colorectal Surgery faculty, administrators, the Dean’s Office, medical center administration, and external partners; exercise independent decision-making to prioritize and respond to inquiries. Evaluate correspondence and prepare confidential and scientific documents for review and signature; maintain Dr. Finlayson’s CV and research documents (including NIH Biographical Sketch). Produce visual aids and coordinating materials for high-level meetings; arrange academic travel and manage calendars; coordinate onboarding and ensure recruits obtain required credentials (ID Badges, parking permits, email access). Support HR processes related to faculty appointments and maintain relevant documentation. Oversee the Faculty Mentoring program: maintain database, gather information for annual reports, schedule meetings, ensure compliance, and submit updates to the SOM office. Provide financial and IT support, including managing calendars and travel arrangements, and assisting with contracts and vendor relations within scope of the role. Qualifications Required Qualifications: Bachelor’s degree in a related field or equivalent experience Minimum 2 years of experience in administrative operations Proficiency in MS Office (Word, Excel, Outlook); ability to learn additional programs as needed Strong written and verbal communication skills and ability to interact with all organization levels; basic understanding of medical science to support faculty with transcribing letters Solid organizational skills with the ability to multi-task, prioritize, and meet deadlines; independent work style and initiative Understanding of accounting/finance and ability to interpret basic financial reports; analytical skills for qualitative and quantitative data Preferred Qualifications: Ability to maintain confidentiality and exercise discretion Experience in an academic medical setting and familiarity with best business practices Knowledge of UC Financial systems (MyReports, MyExpense, BearBuy, HBS) Equal Employment Opportunity The University of California is an Equal Opportunity Employer.
