Job TitleThe ideal candidate would enjoy a fast-paced, exciting work environment. The Joint Pole and Work Order Coordinator performs a wide range of tasks requiring independence, resourcefulness, and the ability to efficiently gather, analyze, and produce accurate work. Job descriptions are not intended to reflect all duties performed within the job.Provides a variety of office and sub professional work in support of a variety of electric utility programs and projects; performs highly skilled specialized activities related to work order administration, processing and auditing, invoicing, joint pole documentation, development and implementation of special projects requiring independent decision-making, judgment and initiative.Receives general supervision from higher level personnel.Examples Of DutiesEstablishes, maintains and tracks work order project files, generates accounts receivable invoices, reviews project labor/material/contract costs, audits work orders, prepares true-ups and initiates any final cost adjustments on maintenance and billable work;Collects, assembles and prepares all documents including but not limited to repair costs and police reports and serves as liaison with Risk Management staff to ensure timely collection of settlements and payments associated with damage claims;Responds to invoice and billing inquiries related to work orders and property damage claims;Develops and makes recommendations to management and other City staff pertaining to work order status and payment;Collects utility data, prepares documents and responds to inquiries as it relates to work order audits and asset reporting;Assists with preparation of workflow and procedure documents associated with work order processing;Assists with gathering work order documents and data for regulatory agencies and audits; Prepares, submits and tracks necessary documents for reimbursement under joint pole activities using the Northern California Joint Pole Association (NCJPA) Routine Handbook and/or other reimbursements under applicable bilateral pole attachment agreements;Establishes and implements project workflow for special projects;Enters and retrieves data from computer systems, operates personal computer, related software and peripheral equipment following established formats; Converts paper documents to electronic documents; catalogs documents for retrieval; creates and maintains logs; maintains utility and work order databases;Provides excellent customer service to those contacted in the course of work;Uses effective decision-making, results delivery, and team-building skills while staying current with relevant technology and innovation;Performs other duties related to the operation of the department and the city, including additional duties that enable the department and City to meet the diverse needs of its community.Typical QualificationsKnowledge of: General working knowledge of electric utility or telecommunication operations; Knowledge of and ability to accurately complete NCJPA forms; Project reconciliation, auditing and billing procedures; joint pole rules and regulations; electric materials; data collection and analyses methods; Modern office methods including the operation of personal computers and standard office equipment; computer software, programs and applications related to word processing, spreadsheets, databases, and scheduling software; Systems and methods for record keeping and file maintenance; Research techniques, methods and procedures; Standard office practices and procedures.Ability to: Analyze data and information using established criteria; compare, count, differentiate, measure and/or sort, assemble, copy, record and transcribe data and information; tabulate and categorize data; Identify and solve problems and make mathematical computations; calculate percentages, fractions, decimals, volumes; interpret basic reports; Perform a variety of office and sub professional work, and provide assistance to electric utility staff; Utilize a variety of advisory data and information such as technical studies, plans, specifications, staff reports, design standards and manuals, ordinances, assessor books, maps, invoices, computer manuals and non-routine correspondence; Communicate effectively both verbally and in writing; follow verbal and written directions; Prepare a variety of written reports, records, and correspondence; produce accurate and timely reports; Manage multiple work assignments concurrently while adjusting to changing priorities; Follow Lodi Electric Utility protocols and safe work practices; Use effective decision making, results delivery, team building and staying current with relevant technology and innovation; Establish and maintain positive professional working relationships with co-workers, other City employees, outside agencies, and the public using principles of good customer service.Minimum Qualifications The minimum qualifications establish the education, training, experience, special skills and/or license(s) required for employment in this classification. Additional qualifications (i.e., special conditions, etc.) might apply to a particular position and will be stated on the examination/job announcement.Education: Possession of a high school diploma or successful completion of an equivalency test (GED or California High School Proficiency Exam).Experience: Three years of relevant electric utility or telecommunication office or related field work, including one year of joint pole experience.Licenses and Certificates Possession of a valid Driver's License (Class C) issued by the California Department of Motor Vehicles.Work/Environmental Conditions Environmental Conditions - Office and field environment; exposure to a variety of weather conditions; may be required to travel from site to site. Physical Conditions - Essential and marginal functions may require maintaining physical condition necessary for sitting, standing, bending, stooping, and walking for prolonged periods of time; using various office equipment and handheld devices. Select positions may require the ability to lift and carry up to 20 pounds; effectively deal with situations, which includes dealing with members of the public.*FLSA Status: NON-EXEMPT
