Client Success Manager

Jake Maines Realty is a growing Virginia Beach real estate business with a strong community brand, a pre-sale renovation program called Sell Ready, and the number one networking event in Hampton Roads. We are hiring a Client Success Manager to own the systems, processes, and client experience that make the business run. This is not an administrative support role. You will own real lanes of the business: the CRM and marketing automation, the client experience from first contact through closing and beyond, the referral engine, the marketing distribution, and the processes that tie it all together. You will work directly with the founder and a small team where your impact is visible and immediate. What you will own Client experience and communication Build and run the systems that keep every client informed and confident throughout the transaction. Coordinate inspections, photographers, vendors, and showing agents. Sit above the transaction coordinator to make sure nothing slips. CRM, automation, and lead flow Implement and manage the CRM across all lead sources. Build the funnels, automations, and integrations that move leads from first contact into the pipeline without anything going cold. You will be responsible for making sure the technology stack works and every platform talks to each other. Referral system Build and run the referral engine: database segmentation, referral rewards, past-client touchpoint systems, and anniversary outreach. Create the infrastructure that turns every closed transaction into future business. Marketing execution You are not the strategist. You are the person who makes sure strategy ships. Manage the email newsletters, outsourced video editors, social distribution, listing marketing, event promotion, geo-farm logistics, and print coordination. Build a luxury listing agent referral network across major metros for high-value properties. Events and database management Run the operations behind Networking Happy Hour, the Just Market Conference, and client appreciation events. Keep the master database clean, segmented, and growing. Systems and scale Document every process. Build the automation instead of doing the steps by hand. Identify what should be outsourced and manage the vendors. Use AI tools to systematize repeatable work. Every month, something about how this company runs should be measurably better because of you. Who you are Extremely organized and naturally proactive. You see what needs to happen and you handle it before anyone asks. Comfortable with technology and AI tools. You have used or can quickly learn platforms like GoHighLevel, Zapier, Kit, Eventbrite, Canva, and similar marketing and automation tools. Emotionally steady, adaptable, and warm. You thrive in a fast-moving entrepreneurial environment where priorities shift and new ideas come frequently. Someone who documents processes naturally. If you do something twice without writing it down, that feels wrong to you. Comfortable with honest, direct communication. You can calmly push back, ask for clarity, and tell your boss when something is not working. Not looking for a role where you wait for instructions. You want to drive something forward and see the results of your work. What this is not This is not a personal assistant role. You will not be managing a calendar or running personal errands. This is not a sales role. You will not be making prospecting calls or closing deals. This is not a creative director role. The founder owns the brand voice and creative strategy.
