The Scheduling Coordinator plays an essential role in supporting the daily scheduling operations of PEG, LLC by ensuring scheduling requests, updates, and communications are processed accurately, timely, and in accordance with established procedures. This position supports the coordination of scheduling activities that directly impact Field Operations, client commitments, and the department's ability to maintain efficient workflows.

The Scheduling Coordinator serves as a key point of contact for clients, vendors, subcontractors, and internal teams, helping ensure scheduling information is communicated clearly and operational needs are addressed promptly. Through careful attention to detail, effective prioritization, and consistent follow-through, the position helps minimize scheduling disruptions and maintain reliable information across applicable systems and platforms.

Success in this role requires strong organization, communication, problem-solving, and collaboration skills, along with the ability to manage multiple priorities in a fast-paced, deadline-driven environment. The Scheduling Coordinator is expected to develop a strong understanding of scheduling processes and systems, contribute to a team-first culture, and proactively identify issues that may require additional attention from Scheduling Management.

Job Location: This position is based in our main office in Fairfax, VA.

Scheduling Daily Workflow:

• Coordinate assigned daily scheduling activities, including builder inspection confirmations, departmental email communication, portal updates, audits, and schedule close-out, ensuring requests and updates are processed accurately and within established turnaround requirements.
• Enter and maintain accurate scheduling information across applicable systems and platforms.
• Monitor assigned scheduling requests, tasks, and communications to ensure items are appropriately prioritized and completed within established requirements.
• Assist with schedule changes, cancellations, conflicts, and other scheduling updates, escalating issues as appropriate.
• Complete assigned administrative and scheduling activities necessary to support daily department operations.
• Contribute to a collaborative, team-first environment through open communication, shared accountability, and support of Scheduling Team members.

Client Support:

• Communicate professionally and responsively with clients, vendors, subcontractors, and internal teams regarding scheduling activities, requirements, and updates.
• Obtain and confirm client information needed to complete scheduling requests and maintain accurate records.
• Assist with resolving routine scheduling questions and concerns, escalating complex issues to Scheduling Management as appropriate.
• Coordinate with Field Management and other internal departments to support accurate and timely scheduling.
• Maintain confidentiality when handling sensitive customer and company information.

Quality & Process Support:

• Follow established scheduling procedures, workflows, and service standards consistently across assigned activities.
• Identify and communicate scheduling issues, workflow challenges, and process concerns to Scheduling Management.
• Assist with implementing updated scheduling procedures, workflows, systems, and process improvements.
• Maintain accurate Standard Operating Procedures (SOPs), reference materials, scheduling documentation, and departmental resources.

Education/Experience:

• Associate Degree in Business Administration or similar relevant field (or equivalent work experience)
• 2+ years of previous work experience in a Scheduling or Administrative Position or related field is required

Additional Requirements:

• Working knowledge of project scheduling concepts and components, with the ability to learn and apply established scheduling procedures and client requirements.
• Excellent attention to detail, organizational skills, and ability to manage multiple priorities, adapt to changing demands, and meet established deadlines in a fast-paced environment.
• Proactive problem-solving skills with the ability to identify routine scheduling issues, resolve conflicts using established procedures, and escalate complex concerns appropriately.
• Strong written and verbal communication skills, including professional phone etiquette, active listening, and the ability to effectively manage a high volume of calls and communications while maintaining responsiveness and professionalism.
• Ability to collaborate effectively with other departments and stakeholders to obtain information, coordinate scheduling activities, and address schedule conflicts.
• Strong computer and software skills, including Microsoft Excel, SharePoint, Outlook, Word, and other related business and scheduling systems.
• Ability to maintain accurate scheduling information and documentation while following established workflows, procedures, and service standards.
• Ability to maintain confidentiality and exercise appropriate discretion when handling sensitive customer and company information.
