About Our Client:

Addison Group is partnering with our client, a mission-driven organization in the healthcare and public services sector, to hire a Contracts Coordinator. This role supports the development, administration, and oversight of professional service agreements and procurement activities that help drive key organizational initiatives. The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities in a compliance-focused environment.

Job Description:

The Contracts Coordinator will support the full lifecycle of contracts and procurement activities, from initial planning and solicitation through execution, monitoring, and closeout. This position works closely with internal departments, external vendors, and regulatory partners to ensure contractual requirements are met while maintaining compliance with applicable policies and guidelines.

Key Responsibilities:

• Coordinate the preparation, review, and administration of professional service agreements and procurement-related documents.
• Support contract solicitation activities, including market research, vendor communications, bid processes, and proposal evaluations.
• Ensure procurement and contracting activities align with organizational policies and applicable regulatory requirements.
• Partner with internal stakeholders to develop scopes of work, specifications, and contract requirements.
• Track contract milestones, renewal dates, deliverables, and procurement timelines to ensure deadlines are met.
• Serve as a primary point of contact for assigned contracts, addressing questions and resolving contractual issues as they arise.
• Maintain accurate and organized contract records, supporting documentation, and compliance files.
• Review invoices and contract-related expenditures for accuracy and alignment with contractual terms.
• Assist with procurement requests involving specialized services, technology initiatives, and vendor engagements.
• Participate in meetings with business units, vendors, and leadership teams to discuss contract performance, procurement activities, and operational needs.
• Prepare reports, summaries, and documentation related to contract activity and procurement initiatives.
• Identify potential contract risks and collaborate with stakeholders to develop appropriate solutions.
• Support continuous improvement efforts by providing input on contracting and procurement processes.

Qualifications:

• Minimum of 1 year of experience in procurement, purchasing, contracting, acquisitions, or a related field.
• At least 3 years of administrative, technical clerical, or office support experience, or an equivalent combination of education and experience.
• Strong understanding of contract administration, procurement processes, and compliance requirements.
• Experience reviewing, drafting, or editing business, legal, or contractual documents.
• Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Ability to analyze information, exercise sound judgment, and maintain attention to detail.

Additional Details:

• Experience with professional services contracting is highly preferred.
• Background in healthcare, government, public sector procurement, or regulated industries is a plus.
• Knowledge of technology-related procurements is beneficial.
• Professional procurement certifications are preferred but not required.
• Advanced education may be considered in lieu of some experience requirements.
