About the Company
We are a highly established and stable Real Estate Investment firm located in La Jolla, CA. We specialize in managing real estate investments and portfolios on behalf of family offices. We currently oversee a diverse portfolio of approximately 50 commercial and retail properties, spread across 13 states. The Opportunity
We are seeking a highly organized and detail-oriented Commercial Real Estate AP/AR Accounting Specialist to join our team. Reporting directly to the Sr. Property Accountant and Commercial Controller, this role is the operational backbone of our accounting department. You will be responsible for full-cycle Accounts Payable and Accounts Receivable for our commercial portfolio, as well as supporting the day-to-day administrative operations that keep a multi-state commercial real estate portfolio running smoothly.

Key Responsibilities
Accounts Payable & Receivable (Yardi Voyager)
- Process, code, and route a high volume of invoices across multiple entities and states using Yardi Voyager (7s/8) for weekly check runs
- Process daily commercial rent payments, wire transfers, checks and ACH deposits.
- Maintain accurate commercial tenant ledgers, track arrears, and communicate with tenants regarding rents/CAMs/percentage rent.
- Assist the accounting team with administrative tasks related to NNN. CAM reconciliations experience would be preferred.
- Ensure timely payment of multi-state property taxes, utilities, and vendor services.
- Reconcile vendor statements, resolve billing discrepancies, and process annual 1099 filings.
- Enter and reconcile sales data for commercial tenants reporting percentage rent, ensuring accurate monthly/quarterly sales reports are recorded in Yardi Voyager.
Portfolio Administration
- Entity & License Tracking: Track and file Annual Reports, Periodic Reports, Statements of Information (SOI), and business licenses for multiple LLCs/LPs/Corporations across 13 states.
- Vendor & Tenant Insurance: Collect, review, and maintain current Certificates of Insurance (COIs) for all commercial tenants, vendors, and contractors to ensure compliance with lease and company requirements.
- Vendor Management: Onboard new vendors, ensuring all W-9s and compliance documents are secured prior to payment.
- Track monthly Vendor contracts
- Property Tax Coordination: Track property tax due dates across various out-of-state county jurisdictions and ensure timely processing of payments.
- Maintain the highest level of discretion, professionalism, and confidentiality regarding our family office clients, their assets, and investments
Qualifications & Requirements
- Experience: 3+ years of experience in Accounts Payable/Receivable within a commercial real estate or property management environment.
- Industry Knowledge: Background in Commercial or Retail Real Estate, Property Management, or Asset Management is required.
- Software: Proficiency in Yardi Voyager (7s/8) is required.
- Portfolio Scope: Comfort managing deadlines, taxes, and administrative requirements for a multi-property portfolio spanning multiple states.
- Skills: Exceptional organizational skills with the ability to manage competing deadlines across a 50-property portfolio.
- Work Style: Professional demeanor, high attention to detail, and a team-player attitude. Must be comfortable working 100% on-site in our La Jolla office.

- Competitive Base Salary: $65,000 - $80,000 annual pay (Depending on experience and Yardi proficiency).
