The Challenge (Job Summary):

As a Medical Receptionist, you'll play a critical role in creating a positive first impression for patients, families, and visitors. You will serve as the primary in-office point of contact for patients, visitors, and caregivers by providing consistent, in-person support and assistance throughout the patient visit. Greet and check in patients, answer questions, provide information regarding appointments and office procedures, direct patients to appropriate clinical or administrative staff, and facilitate communication between patients and the healthcare team to ensure a positive patient experience and efficient office operations.

This position supports efficient practice operations by ensuring accurate patient information, facilitating communication between patients and clinical teams, and promoting a welcoming, professional environment. Through attention to detail and a patient-centered approach, you will contribute directly to the overall patient experience and operational success of the practice.

Key Responsibilities & Essential Functions:

• Greet patients, visitors, and vendors in a courteous, professional, and timely manner.
• Register patients and verify demographic, insurance, and contact information for accuracy.
• Collect co-payments, balances, and other patient financial responsibilities in accordance with organizational policies.
• Answer and direct incoming telephone calls while providing accurate information and exceptional customer service.
• Schedule, coordinate, confirm, and reschedule patient appointments according to practice guidelines.
• Assist patients with completing required registration forms and documentation using electronic or paper-based systems.
• Maintain physician schedules and ensure appointments are appropriately booked and managed.
• Coordinate referrals, testing, procedures, and appointments with specialists and external healthcare providers as directed.
• Scan, upload, fax, and manage patient records and other documentation within the electronic medical record system.
• Assist in obtaining outside medical records, laboratory results, imaging reports, and consultation notes.
• Monitor patient flow and communicate delays, scheduling concerns, or operational issues to appropriate staff.
• Maintain a clean, organized, and welcoming reception and waiting area.
• Support patient communication by relaying messages and assisting with non-clinical inquiries.
• Assist with administrative projects, office supply management, and routine clerical functions as assigned.
• Attend departmental meetings, training sessions, and continuing education activities as required.
• Comply with HIPAA, OSHA, and all organizational policies and procedures.

• Ability to work independently while contributing to a collaborative team environment.

Education & Experience:

• High School diploma or GED required.
• Minimum of one (1) year of customer service experience required.
• Previous medical receptionist, healthcare registration, or medical office experience preferred.
• Experience working with electronic medical records and scheduling systems preferred.
• Knowledge of medical terminology preferred.

This position requires sitting for extended periods, as well as occasional stooping, bending, or reaching. The ideal candidate must be able to view computer screens for long durations and work effectively in a fast-paced, collaborative office setting. For patient care–related roles, the position may also require standing for long periods and the ability to lift or assist patients, medical equipment, or supplies — generally up to 25–50 pounds, as needed to support safe and effective care.
