Leasing & Tenant Coordinator

Job Description Job Description We are seeking a highly organized and detail-oriented Tenant & Leasing Coordinator to support tenant relations and leasing operations across our portfolio. This role plays a critical part in ensuring smooth day-to-day communication, accurate reporting, and efficient leasing processes while maintaining a high level of tenant satisfaction. The ideal candidate is proactive, tech-savvy (experience with AppFolio is a plus), and understands the importance of following structured communication and escalation protocols. Key Responsibilities Tenant Coordination Receive and track rent payments; monitor and report delinquencies Apply late fees in the system as required Prepare tenant notices (e.g., pay or quit, lease violations) for approval prior to sending Handle routine tenant communications professionally and promptly Manage tenant insurance within AppFolio, including reactivating expired policies Maintain accurate tenant tags to reflect delinquencies and reporting needs Conduct move-in inspections and initiate work orders as needed Distribute and track 30-day notices; ensure proper completion and system documentation Tag appropriate team members in tenant profiles for visibility and follow-up Escalate all tenant complaints or complex issues to management—no independent handling of escalations Leasing Perform market analysis for upcoming vacancies and submit findings to the Property Manager Create and manage property listings, including photos and marketing videos Schedule and conduct property showings Process rental applications and submit for management review and approval Coordinate move-in logistics for approved applicants Track vacancies using reports and ensure unit status and tags are current and accurate Collaboration & Reporting Work closely with the Property Manager to align leasing activity with owner goals Maintain detailed and accurate records of all tenant and leasing communications Provide timely updates on items requiring owner attention or approval Qualifications Previous experience in property management, leasing, or a related field preferred Familiarity with property management software (AppFolio strongly preferred) Strong organizational and time management skills Excellent written and verbal communication skills Ability to follow structured processes and escalation protocols Detail-oriented with strong documentation habits Company Description Opportunity to grow within a structured property management team Clear processes and expectations to support your success Collaborative work environment focused on operational excellence Company Description Opportunity to grow within a structured property management team\nClear processes and expectations to support your success\nCollaborative work environment focused on operational excellence
