Senior Events Specialist

The Senior Events Specialist is responsible for the backend execution of event marketing strategies, ensuring campaign performance, clean data, and consistent brand presence. This role manages event planning, lead pipeline calculations, seminar logistics, CRM hygiene, and event-related client communications to support both lead generation and relationship-building initiatives. Coordination with vendors, advisors, and internal systems is key to success in this role. Primary Responsibilities Seminar Logistics & Backend Prep Coordinates all seminar logistics, including venue booking, scheduling, food and beverage arrangements, and printed materials Tracks seminar budgets and planned expenses; forecasts ROI per event and submits contracts and expenditures to the Director of Marketing for approval and signature. Keeps all events at or under budget and ensures maximum ROI. Prepares attendee lists, name tags, and registration sheets. Uploads all seminar response sheets to the shared drive for record-keeping. Updates seminar lead data in the CRM, including lead uploads, tagging, status updates, and cleanup. Sends immediate follow-up emails to attendees who scheduled an appointment, including appointment date and time. Client Event Planning & Management Owns end-to-end client event management, including the event timeline, logistical planning, vendor communications, client communications, and day-of event execution. Provides daily reports on event registration. Prepares and updates registration list and seating chart. Ensures clean data entry of all referrals into CRM and referral tracker spreadsheet. Coordinates sponsorships from vendor partners, as applicable. Marketing Assets & Analytics Coordinate with vendors to create and maintain mailers, banners, programs, handouts, promo items, and other event-related materials. Maintain brand consistency across event communications, decor, and presentations. Track event metrics and report KPI results by event and audience segment. Manage E-Book Distribution Media Advertising Coordinates interviews for designated organizational spokespeople with various media sources across TV and radio. Writes talking points and calls to action for media appearances and submits ideas to the CEO for final approval.
