Student Assistant - State Architect Digital Imaging Support

Description The Department of General Services (DGS) and the Division of State Architect is seeking to hire two (2) student assistants to provide scanning services to reduce holdings of files and construction plans being stored at the State Records Center. Students will convert archival materials to digital format, producing a final record set of plans, and providing priority scanning services for Public Record Act (PRA) requests so that responses and production of documents to customer is timely, per PRA policies using optical scanning equipment. Students will ensure quality control of documents by viewing each document during the indexing process and resolve any problems to ensure that all documents are readable following departmental guidelines. Student Assistants will gain valuable experience working in a fast-paced, professional environment. Requirements Conditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. Prerequisites Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list. Students declared major must match the major(s) listed in the job posting. Majors/Fields of Study Architecture, Business Administration, Computer Information Systems, Computer Science and Engineering, Records Management, Library Science, Digital Media, Public Policy and Administration, Information Technology, or other related fields of study. Work Schedule Flexible workdays and work hours, Monday - Friday, between 8 AM - 4 PM. The final work schedule will be determined by the supervisor. Additional Work Schedule Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday - Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer). Compensation $18.27 - $23.01 per hour. Minimum Qualifications Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term. Strong attention to detail for quality assurance and accuracy. Ability to work independently and manage priorities. Strong organizational and communication skills. Preferred Qualifications Individuals who are, or have been, a dependent child in foster care, a homeless youth or a formerly incarcerated youth as defined by Government Code section 18220 are encouraged to apply and will be given priority. Duties and Responsibilities Provides scanning and digitization services to assist DSA in reducing physical file and roll plan storage maintained at the State Records Center. Converts archival materials into digital formats and produces finalized electronic record sets of plans and related documents. Provides priority scanning support for Public Records Act (PRA) requests to ensure timely response and document production in compliance with PRA policies. Operates optical scanning equipment to scan, index, and organize records in accordance with departmental guidelines. Performs quality control reviews by verifying each document during the indexing process to ensure records are complete, accurate, and readable. Identifies and resolves scanning and imaging issues to maintain the integrity and accessibility of electronic records. Physical Requirements Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, copiers, printers, and scanners with or without reasonable accommodation.
