Executive Assistant to the President/CEO Position Overview: The Executive Assistant provides executive support and assistance in a one-on-one working relationship to the President/CEO. They serve as the primary point of contact for internal and external constituencies regarding the President’s time and schedule, and coordinate closely with the Chief of Staff to ensure timely completion of the President’s priorities. This is a hybrid position; the Executive Assistant is expected to be in the office on days when the President is in the office. The role requires a self‑directed, motivated individual who can handle high‑impact results, work independently on projects, manage confidential matters with discretion, and adapt to varied tasks. Occasional work outside of standard business hours may be required. Duties and Responsibilities Executive Support Maintain primary responsibility for the President’s calendar and coordinate the CEO’s schedule with the Chief of Staff. Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including sensitive or confidential matters. Act as a bridge for smooth communication between the President’s office and internal departments, demonstrating leadership and maintaining credibility with senior staff. Keep the President well informed of upcoming commitments and responsibilities, acting as a barometer on emerging issues. Prioritize conflicting needs; handle matters expeditiously and follow through on projects to successful completion under deadline pressure. Create prep materials for the President, coordinating with IWPR leadership to ensure timely delivery of accurate documents ahead of meetings, events, and travel. Organize and coordinate executive outreach, oversee special projects, liaise with the Board of Directors, and provide confidential support to the Chief of Staff and C‑Suite. Board Support Work with the Chief of Staff to manage and plan IWPR Board meetings. Act as the President’s administrative liaison to the Board of Directors. Assist board members with travel arrangements, lodging, and meal planning as needed. Ensure compliance with board rules and regulations, including advance distribution of materials before meetings. Other C‑Suite Support Provide high‑level administrative and operational support to the Chief of Staff and Chief Financial and Operations Officer on sensitive matters. Coordinate with C‑Suite staff on collective bargaining and contract administration matters, including scheduling, note taking, tracking follow‑up items, and managing confidential information. Communications, Partnerships, and Outreach Ensure the President’s biographical details are kept updated and respond to requests for materials concerning the President and the organization. Help prepare for internal and external meetings and presentations, including conducting background research. Coordinate with the Communications Department on media events and interviews. Edit and complete first drafts of written communications to external stakeholders, including thank‑you notes. Perform other duties as assigned. Other Professional and Personal Qualities Strong organizational skills, attention to detail, and ability to prioritize multiple tasks. Exceptional interpersonal communication skills with stakeholders, including staff, board members, external partners, and donors. Strong writing, research, and presentation skills. Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint. Commitment to a culture of excellence in the workplace. Bachelor’s degree with 5-10 years of experience supporting C‑Level Executives, preferably in a non‑profit organization. Salary This hybrid, full‑time exempt position is based in Washington, DC. Salary for the Executive Assistant to the President/CEO role ranges from $86,184 - 110,808 and will be commensurate with experience.
