Medical Services Coordinator

$20 - $21 per hour

Job Summary The Medical Services Coordinator is responsible for serving as a point of contact to coordinate medical care, providing support to patients and psychiatric clinicians, ensuring quality customer service to in‑person and remote patients and clinicians. Location 357 S Gulph Rd Suite 260, King of Prussia, PA 19406 Compensation $20.00 - $21.00 hourly, plus quarterly bonus/incentive potential. Benefits Medical, dental, vision, AD&D Short‑term and long‑term disability Life insurance 401(k) retirement savings with employer match Paid parental leave, paid time off, holiday pay Employee Assistance Program Duties and Responsibilities Create a positive work environment and support in‑office clinician and staff engagement activities. Provide strong customer service, responding quickly and appropriately to patient needs. Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction. Assist psychiatric clinicians with prior authorizations, lab orders, letters, records requests, and coordination of needed patient forms/paperwork. Facilitate communication as needed between the patient, medical staff and the patient’s pharmacy. Manage phone systems: answer incoming calls to the medical services line and provide patient support with medication‑related questions, refill requests, release requests, appointment reschedules, and miscellaneous inquiries. Ensure accuracy of patient pharmacy information in the medical record. Scan all hard‑copy correspondence into the patient’s EHR record. Assist patients with telehealth access, portal issues, and other troubleshooting. Immediately handle urgent requests; triage patient issues and resolve or direct them to the appropriate department. Assist in coordination of external referrals for patient care. Provide general clinician support – assist with administrative questions, letters, faxes, and other duties. Coordinate with clinicians on additional patient questions. Assist psychiatric clinicians with termination processes for patients as needed. Behave ethically and ensure behavior consistent with company values. Build and maintain positive working relationships internally and externally to achieve organizational goals. Show flexibility and adaptability in changing responsibilities. Apply a growth mindset and seek continuous improvement of processes and performance. Maintain organization and attention to detail; track data, progress toward goals, and accurate communication. Resolve conflicts cooperatively and effectively. Required Skills and Abilities Ability to multitask and prioritize duties to support a high‑quality patient experience. Ability to work independently and as a team member. Strong written and verbal communication skills. Proficiency in Microsoft Office and EMRs. Comfortable handling sensitive and confidential information (HIPAA). Education and Experience High School diploma or equivalent required; associate’s or bachelor’s degree preferred. 1+ year of experience in healthcare operations, customer service, or a similar role. Physical Requirements Requires regular sitting, standing, bending, talking, hearing, and walking. Ability to lift up to 25 pounds and meet vision requirements including close, distance, color, peripheral, depth perception, and focus adjustment.
