Overview:

Bolongo Bay Beach Resort is located on the serene island of St. Thomas in the United States Virgin Islands and is a family-owned and managed beach resort nestled in a beautiful sandy bay along the Caribbean Sea. Position Summary:

The Purchasing Coordinator is responsible for overseeing the efficient receipt, storage, and dispatch of goods to support hotel operations. They ensure inventory accuracy, manage staff, maintain compliance with safety regulations, and optimize warehouse processes to meet the hotel's operational and guest service standards.

Duties & Responsibilities:

  • Overseet daily operations of the warehouse, including receiving, storing, and distributing goods to various departments (e.g., kitchen, housekeeping, and banquet).
  • Ensure the timely delivery of items to support hotel operations and guest services.
  • Organize and maintain inventory to minimize waste and optimize storage capacity.
  • Oversee the proper handling and storage of perishable and non-perishable goods, adhering to health and safety standards.
  • Monitor inventory levels and conduct regular stock counts to ensure accuracy.
  • Implement inventory control procedures to reduce shrinkage and maintain optimal stock levels.
  • Coordinate with procurement teams to ensure timely replenishment of supplies.
  • Maintain accurate records of inventory movements and report discrepancies.
  • Train, supervise, and evaluate warehouse staff, ensuring adherence to hotel policies and procedures.
  • Delegate tasks effectively, monitor performance, and foster a culture of teamwork.
  • Provide ongoing guidance and support to improve team efficiency and morale.
  • Enforce compliance with health, safety, and hygiene regulations.
  • Ensure warehouse equipment is maintained and used safely.
  • Conduct regular safety inspections and implement corrective actions as needed.
  • Identify opportunities to improve warehouse efficiency and implement process enhancements.
  • Utilize technology and software tools for inventory and warehouse management.
  • Collaborate with hotel departments to align warehouse operations with overall hotel goals.

Skills & Abilities:

  • Strong organizational and problem-solving skills.
  • Excellent leadership and interpersonal abilities.
  • Proficiency in inventory management systems and software.
  • Familiarity with food safety and handling standards (HACCP certification is a plus).
  • Ability to multitask and work under pressure in a fast-paced environment.

Physical Requirements:

  • Primarily based in the warehouse with regular interaction with hotel departments.
  • May require early mornings, late nights, weekends, and holidays based on operational needs.
  • Must be able to lift, carry, push, and/or pull up to 50 pounds with or without reasonable accommodation.

Education & Experience:

  • High school diploma or equivalent (bachelor’s degree in logistics, supply chain management, or a related field is a plus).
  • Proven experience as a warehouse supervisor, preferably in the hotel or hospitality industry.
