Executive Business Partner - New York City

The Executive Business Partner will partner with the Managing Director of Americas to effectively manage the Americas business cadence and provide high-level administrative and tactical support. This role is essential to enabling the MD and regional leadership teams to scale up by managing day-to-day and mid term activities and creating the space for them to focus on long-term strategy and commercial priorities.

This role will be fully responsible for ensuring the MD’s office is aware of deliverables and their timelines, and that communication is cascaded up and down as needed. The EBP will work collaboratively with the Regional Directors and relevant stakeholders to support alignment across the two regions and the wider Americas organisation.

This position requires strategic thinking and business acumen, as well as the ability to develop processes to facilitate short- and long-term planning and execution. Building and maintaining strong stakeholder relationships, both internal and external, is a key aspect of this role.

The EBP must be skilled in cross-group collaboration at all levels, have excellent communication skills and be comfortable operating in a fast-paced, commercially focused environment.

What You'll Be Doing:

Executive partnering and business cadence

• Be a trusted advisor on individual and team dynamics.

• Partner directly with the Managing Director of Americas to prioritise activities based on business priorities.

• Create, maintain and influence relationships with internal and external stakeholders to support business activities.

• Own the MD’s calendar, ensuring clear alignment with business priorities, interdependencies and meeting requirements.

• Manage the MD’s inbox, respond to emails, pick up tasks and prepare or send communications on the MD’s behalf to internal and external stakeholders, where appropriate and at the leader’s discretion.

• Manage and initiate onboarding for relevant senior stakeholders joining the Americas Leadership Team, preparing documentation and schedules and overseeing technical and operational onboarding requirements.

• Handle delegated tasks in Workday, Concur, Ivalua and similar systems, including raising POs, adding vendors and following up on outstanding actions.

• Be aware of and adhere to relevant budget and purchasing policies.

• Oversee the MD’s business travel needs, including coordinating itineraries, logistics, visas, meeting preparation and briefing materials.

• Coordinate and facilitate signature processes for the MD, liaising with regional and relevant internal stakeholders to confirm signatory requirements, approvals and timelines.

• In partnership with PMOs, FP&A, HR, Internal Communications and other relevant stakeholders, create and maintain the Americas business cadence, own the agenda and support business planning and forecasting.

• Coordinate and actively facilitate Americas Leadership Team meetings, owning actions and follow-ups.

• Track key business priorities, milestones, dependencies and deliverables, escalating risks where appropriate.

• Partner with relevant PMO, strategy or delivery stakeholders to improve accountability, ownership and follow-up of business priorities.

Meetings, events and offsites

• Coordinate the end-to-end planning and delivery of leadership meetings and events, including Regional All Hands and QBRs, America’s Live, Local Regional Office Q&As and regional leadership meetings where the MD is the sponsor. This includes identifying key dates, developing agendas, coordinating content and stakeholders, booking spaces, managing logistics, supporting communications and tracking follow-up actions.

• Support the planning and execution of partner events and other commercially important external engagements where the MD is sponsor, as required.

• Prepare agendas, briefing documents, talking points and follow-up actions for relevant partner and commercial events.

• Organise Commercial Operations Leadership Team offsites on behalf of the MD, including identifying suitable dates, arranging accommodation and meeting spaces, coordinating logistics, supporting communications and managing follow-up actions.

• Be available to travel within the Americas and internationally as required to support MD-sponsored leadership meetings, QBRs, Booking.com hosted partner events and Leadership Team offsites.

Project management and communications

• Upon request, review and advise on the language, communication channel and overall content of outgoing communications on behalf of the MD.

• Partner with Internal Communications in planning, organising and executing communication initiatives regionally and globally, including scheduling, identifying and inviting attendees, logistical planning and support.

• Act as the MD’s eyes and ears, identifying areas of concern and opportunities to use internal communications effectively.

• Support the Americas Regional Crisis Management Team (R-CMT) by maintaining accurate logs of key decisions, actions, owners and follow-up, and by coordinating with Corporate Security and other relevant stakeholders as required.

• Support other business and operational priorities as required.

What You'll Bring:

• 5–8 years of relevant experience in an Executive Business Partner, Executive Assistant or similar leadership support role, ideally supporting a Managing Director, General Manager, Regional President or equivalent Senior Commercial Leader in a large International organisation.

• Experience coordinating business rhythms across multiple regions, markets or leadership teams.

• Strong event management and operational planning skills, with experience supporting executive meetings, all hands, QBRs, offsites or external partner engagements.

• Strong commercial awareness and the ability to understand business priorities, performance topics and stakeholder sensitivities.

• Proactive, creative and able to identify practical solutions in ambiguous situations.

• Highly organised, detail-oriented and adaptable, with excellent planning skills and a focus on efficiency without compromising quality.

• Excellent written and verbal English communication skills; additional languages are an advantage.

• Confident working with senior internal and external stakeholders, including commercial partners.

• Strong ethics and the ability to handle confidential matters with discretion.

• Comfortable prioritising and making decisions without having all the information.

• Strong working knowledge of Google Workspace, including Google Calendar, Sheets and Slides.

• Willingness and ability to travel within the Americas and Internationally as required.

• Active participation in the Leadership Support community.
