Secretary To Director Of Student Accounting

This position is responsible for various clerical operations of the Student Accounting Department including, but not limited to, handling of daily correspondence, processing of purchase orders, filing, answering phones, greeting patrons and data entry.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. At least high school diploma or GED. Typing speed of 40 wpm. Working knowledge of the Microsoft Office Suite (Word, Excel and PowerPoint) and Google applications (Docs, Sheets, etc.)

Essential duties and responsibilities:

1. Maintain the ability to multi-task in an office setting including, but not limited to, answering phone calls, assisting visitors, opening and distributing mail, preparing correspondence and other documents as directed, filing, maintaining confidential information, etc. while remaining calm and exhibiting a courteous and professional manner.
2. Utilize Microsoft Office Suite (Word, Excel and PowerPoint) and Google applications (Docs, Sheets, etc.) to prepare various reports.
3. Utilize the student information system to access student information, enter data and create reports.
4. Maintain all forms and files relating to student accounting.
5. Respond to inquiries regarding student enrollment.
6. Assist in the preparation of reports.
7. Attend training as needed to maintain knowledge base.
8. Assists with the development and implementation of long-term goals and projects designed to increase the accuracy and functionality of student data.
9. Establish and maintain cooperative working relationships.
10. Additional duties that may be assigned by immediate supervisor or above.

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to compose and write grammatically correct correspondence and memos.

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.

While performing the duties of this job, the employee is regularly exposed to fume or airborne particles. The employee frequently works in high, precarious places and in outside weather conditions. The employee frequently works near moving mechanical parts, extreme cold (including outdoors), extreme heat (including direct sunlight), risk of electrical shock and vibration.

The noise level in the work environment will vary from somewhat loud to extremely loud.

To ensure continuity of services, a different work location may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee's eligibility for a varied work location will be determined by the superintendent of schools. Expectations and guidelines for this change will be distributed by the employee's supervisor, based on his/her role and responsibilities.

Employee may occasionally be required to supervise a varying number of employees in the overall direction, coordination, and completion of tasks as assigned.
