Materials Project Manager

We are seeking a detail-oriented Materials Project Manager to support mechanical contractors and construction projects requiring pipe, valve, and fitting (PVF) materials. This role sits at the intersection of purchasing, logistics, and project coordination — managing the full material lifecycle from RFQ through delivery. The ideal candidate combines strong construction industry knowledge with sharp organizational skills and the ability to juggle multiple projects, vendors, and deadlines simultaneously. Key Responsibilities Prepare and distribute RFQs (Request for Quotes) to vendors and mills Collect, organize, and track vendor quotes and lead times in spreadsheets/tracking systems Evaluate pricing, lead times, and vendor performance to build best-value proposals for customers Purchase materials for assigned projects in line with budget and schedule requirements Logistics & Delivery Coordination Coordinate deliveries from mills and vendors, sequencing shipments to align with project and customer timelines Maintain and distribute up-to-date material tracking sheets (status, location, ETA) Proactively identify and resolve delivery or supply chain issues before they impact Project & Customer Support Support the full project lifecycle: pre-bid, award, procurement, and delivery Review project specifications and customer requirements to ensure materials meet technical needs Familiarity with CAD/BIM platforms and material takeoff processes is preferred but not required. Serve as a proactive point of contact for internal teams, vendors, and customers regarding order status and issues Required Knowledge & Skills Working knowledge of the construction industry process, from pre-bid through award, procurement, and final delivery Basic product knowledge of pipe, valves, and fittings, with the ability to interpret specifications against customer/project requirements Understanding of supply chain and logistics principles, including flow of materials from supplier to end-user Ability to interpret construction drawings and specifications; experience with CAD/BIM software and material takeoffs is preferred. Advanced Excel proficiency (tracking sheets, data organization, basic analysis) Strong project management fundamentals: planning, scheduling, and resource coordination Experience using and maintaining CRM systems, including data management, reporting, record accuracy and support of business processes. Excellent written and verbal communication skills, with a proactive approach to flagging and resolving problems Highly detail-oriented with strong follow-through on data accuracy Basic budgeting/forecasting skills to support cost-effective purchasing decisions Ability to lead and coordinate cross-functional efforts with vendors, mills, and internal teams Flexibility to work the hours necessary to meet project deadlines Ideal Candidate Profile Someone who thrives on organization and follow-through, is comfortable owning the details of a purchase order from quote to delivery and can communicate clearly and proactively when issues arise.
