Smartsheet Project Coordinator (Contract)

We are seeking an experienced Smartsheet PMO Coordinator to provide temporary support within a Product Development Project Management Office (PMO). This role will be responsible for establishing and optimizing project management processes within Smartsheet, supporting project setup and execution across multiple product development initiatives, and serving as a trusted advisor to project managers on best practices and tool utilization.

The ideal candidate will be a Smartsheet subject matter expert with strong project coordination and problem-solving skills who can help drive adoption, standardization, and efficiency during the organization's first year of implementing Smartsheet as a PMO tool.

Key Responsibilities

• Serve as the primary Smartsheet expert, providing guidance, coaching, and hands-on support to project managers.
• Configure, implement, and maintain Smartsheet project plans, dashboards, reports, workflows, and templates.
• Support project setup and governance across multiple Commercial Product Development initiatives.
• Troubleshoot and resolve issues related to Smartsheet utilization, reporting, data integrity, and system adoption.
• Develop and implement best practices, standards, and processes to improve PMO efficiency and project visibility.
• Provide training and ongoing support to project teams to increase Smartsheet proficiency and self-sufficiency.
• Partner with project managers to ensure project data is accurate, current, and aligned with organizational reporting requirements.
• Assist with project portfolio tracking, status reporting, and resource planning activities.
• Identify process improvement opportunities and recommend solutions to enhance project execution.
• Over time, transition from primarily supporting project managers to independently managing smaller projects and initiatives as organizational maturity increases.

Allocation of Responsibilities

• 75%: Smartsheet implementation, administration, coaching, support, maintenance, and PMO process optimization.
• 25%: Management and coordination of small to medium-sized projects.

Required Qualifications

• Proven expertise implementing and administering Smartsheet in a Project Management Office (PMO) environment.
• Strong understanding of project management methodologies, tools, and governance practices.
• Experience creating project schedules, dashboards, automated workflows, reports, and executive-level status reporting.
• Ability to coach, train, and support project managers and business stakeholders.
• Excellent analytical, troubleshooting, and problem-solving skills.
• Strong communication and organizational skills with the ability to manage multiple priorities simultaneously.
• Experience supporting cross-functional teams in a fast-paced environment.
