Accounts Payable Supervisor

A nonprofit organization in Buffalo is seeking an experienced Accounts Payable Supervisor to oversee the accounts payable function and lead the AP team. This role is responsible for ensuring the accurate and timely processing of payments, maintaining strong internal controls, supervising staff, and driving process improvements. Duties and Responsibilities: Oversee daily accounts payable operations, ensuring timely processing of invoices, expense reimbursements, and check runs. Ensure compliance with organizational policies, grantor requirements, and IRS regulations, including 1099 reporting. Develop payment schedules that align with available cash flow and organizational priorities. Review and approve AP batches, journal entries, and reconciliations. Supervise, mentor, and develop the Accounts Payable team, including performance reviews, coaching, and timecard approvals. Monitor workloads and adjust assignments to maximize efficiency. Maintain and enforce internal controls, including segregation of duties, approval workflows, and fraud prevention. Identify opportunities to automate processes and improve operational efficiency. Communicate payment status updates and urgent financial matters with leadership and funders as needed. Serve as the primary point of contact for vendors, resolving payment issues and discrepancies. Job Requirements: Associate's degree in Accounting, Finance, or a related field required. Minimum of 5 years of accounts payable experience, including 2–4 years in a supervisory role. Strong knowledge of accounts payable processes, GAAP, and computerized accounting systems. Excellent communication, leadership, organizational, and problem-solving skills. Ability to lift up to 10 pounds when performing filing tasks.
