Base pay range $100,000.00/yr - $125,000.00/yr About This Role The Scheduling Manager builds and leads the scheduling function for the myPlace Health PACE program—designing workflows, team structure, and KPIs that deliver timely, coordinated access to primary care, specialists, therapies, assessments, and transportation. This newly created role blends hands‑on operations with strategic planning: you’ll stand up scalable processes, optimize tools and dashboards, and drive a high‑performing, participant‑centered culture. You’ll partner daily with the IDT, Transportation, Enrollment, and Center Operations to keep services aligned and moving. Expect a fast‑paced, office‑based environment with heavy computer and phone use, plus frequent in‑person and virtual communication. What Does Success Look Like In This New Role? Lead and inspire the team: Guide a high‑performing Scheduling team that coordinates participant appointments across the clinic, day center, home visits, and external providers. Grow talent and culture: Recruit, mentor, and develop staff while fostering a collaborative, participant‑centered culture aligned with myPlace Health’s mission and values. Coach with clear goals: Set expectations, track KPIs, and provide regular feedback and recognition to keep the team focused, supported, and engaged. Own the schedule, end to end: Oversee daily scheduling workflows for primary care, specialists, therapies, assessments, and transportation. Maximize access to care: Optimize provider templates, lead times, and same‑day availability so participants get the right care at the right time. Connect the dots across teams: Partner closely with the IDT, Transportation, Enrollment, and Center Operations to keep services coordinated and running smoothly. Turn data into action: Monitor metrics like appointment accuracy, no‑shows, cancellations, and utilization—and use insights to drive improvement. Reduce friction, reduce wait: Implement strategies that minimize scheduling errors, cut wait times, and improve communication across departments. Align scheduling with strategy: Work with Care Delivery Operations leadership to ensure scheduling supports panel management, care continuity, and capacity planning. Tackle barriers head‑on: Lead root cause analyses on missed appointments, delays, and other access barriers, and drive solutions with clinical and operational partners. Streamline workflows & tools: Design and refine scheduling workflows that are efficient, accurate, and participant‑friendly. Partner on tech that works: Collaborate with Product, IT, EMR, and analytics teams to enhance scheduling systems, troubleshoot issues, and roll out new solutions. Plan for coverage and peak times: Support cross‑training and coverage plans so operations stay smooth during staff absences and high‑demand periods. Leverage dashboards and data: Work with analytics to build and use dashboards that track volumes, utilization, and access gaps across clinics and markets. Champion participant experience: Ensure the team delivers timely, empathetic, and culturally responsive communication to participants and caregivers. Own escalations with care: Serve as a key point of contact for complex scheduling issues and partner with leaders to resolve them quickly and thoughtfully. Keep us compliant and audit‑ready: Maintain adherence to PACE, CMS, DHCS, and HIPAA requirements related to scheduling and participant information. Measure what matters: Establish and monitor scheduling performance and quality metrics, sharing insights and trends with leadership. Support reporting & oversight: Partner with Compliance, Quality, and Care Delivery Operations to support audits, surveys, and regulatory reporting needs. Jump in where needed: Take on additional related duties and special projects as needed to support our participants, your team, and the growth of the program. What Does An Ideal Candidate Look Like? Education that fits: Bachelor’s degree in Healthcare Administration, Business, or a related field required (equivalent experience may be considered). Proven leadership in healthcare: At least 2+ years in a supervisory or lead role in a healthcare setting. Deep scheduling experience: 5+ years of experience in patient scheduling within a health plan or managed care environment. PACE/value‑based savvy: Experience in a PACE program, managed care, or other value‑based care environment strongly preferred. Builder mindset: Demonstrated success standing up or optimizing scheduling workflows, systems, or entire departments in a healthcare setting. Scheduling operations expertise: Strong understanding of scheduling best practices, appointment templates, provider capacity management, and patient flow. Tech‑forward approach: Experience with EMR systems (Athena, Epic, or similar), scheduling software, and data dashboards. Data‑driven decision‑making: Comfortable using reporting tools and analytics to track KPIs and drive operational performance. Regulatory awareness: Working knowledge of HIPAA, CMS, and DHCS regulations related to participant information and scheduling compliance. People leadership chops: Proven ability to build teams, establish new processes, and lead change in fast‑paced or startup‑like environments. Coaching & motivation skills: Skilled in mentoring, supporting, and motivating diverse staff toward shared goals. Collaborative energy: Able to partner effectively with interdisciplinary teams, including clinicians, transportation, enrollment, and operations leaders. Mission‑first mindset: Excellent communication, problem‑solving, and decision‑making skills with a focus on participant‑centered service and improving access to care for frail and older adults. Adaptable and resourceful: Thrives in an evolving, growing organization and stays calm and solution‑focused through change. Detail‑focused and proactive: Strong attention to detail and a knack for spotting and resolving operational challenges early. Language skills a plus: Bilingual in English and Spanish preferred but not required. The Fine Print Your schedule: Full‑time, exempt role scheduled Monday–Friday. Where you’ll work: 100% onsite to stay close to the Scheduling team and day‑to‑day operations. Your home base: Role will be based across our Greater Los Angeles and South Los Angeles sites, as operational needs evolve. The Physical Requirements and Environment Office‑based and dynamic: Primarily works in a busy office setting with frequent activity, background noise, and interruptions. Computer‑forward work: Requires extended periods of sitting, focusing, and working at a computer to review schedules, dashboards, and reports. High‑volume communication: Involves frequent talking and active listening—in person, over the phone, and via virtual platforms—to coordinate with participants, caregivers, and team members. Multi‑tasking on the move: May require occasional walking within the center or between departments to collaborate with on‑site teams. Tech & phone usage: Regular use of a telephone, headset, and standard office equipment as part of daily work.
