Position Summary

We are seeking a detail oriented and organized Insurance Documentation Specialist to join our team remotely. In this role, you will be responsible for managing certificates of insurance, verifying coverage, tracking policy renewals, and ensuring compliance with client and project insurance requirements. You will work closely with our management team, clients, subcontractors, and insurance agents to eliminate coverage gaps that could expose our company or our clients to risk. The ideal candidate has strong knowledge of commercial insurance, excellent organizational skills, and the ability to work independently in a remote environment.

Key Responsibilities

• Obtain, review, and maintain certificates of insurance from subcontractors, vendors, and partners
• Verify that all certificates meet contractual and project requirements
• Track policy expiration dates and request updated certificates before coverage lapses
• Review insurance policies to confirm limits, endorsements, and additional insured status
• Coordinate with insurance agents and brokers to resolve coverage discrepancies
• Maintain organized digital files for all insurance documentation
• Prepare insurance compliance reports for management and clients
• Assist with prequalification and bid documentation related to insurance
• Monitor changes in insurance requirements from clients and general contractors
• Support the safety coordinator with documentation related to incidents and claims
• Ensure compliance with company insurance standards and risk management policies
• Communicate professionally with clients, subcontractors, and internal teams
• Perform other duties as assigned

Qualifications

Required:

• 2 or more years of experience in insurance documentation, risk management, or a related field
• Strong knowledge of commercial insurance, including general liability, workers compensation, auto, and umbrella policies
• Experience reviewing certificates of insurance and policy documents
• Excellent attention to detail and organizational skills
• Strong written and verbal communication skills
• Proficiency with Microsoft Office Suite and document management systems
• Ability to work independently and manage multiple priorities in a remote environment
• Reliable high speed internet and a quiet home office setup

Preferred:

• Experience in the construction industry
• Familiarity with additional insured endorsements and waiver of subrogation
• Experience with insurance tracking software or construction management platforms
• Knowledge of Georgia insurance requirements
• Associate or Bachelor's degree in Business, Risk Management, or a related field

Compensation and Benefits

• Salary Range: $48,000 to $82,000 per year, commensurate with experience and qualifications.
