Clinical Care Coordinator - Program Specialist Full Time NBI offers specialized psychological assessment and treatment services for children, adolescents, and adults at multiple locations in South Florida. NBI provides outpatient and intensive treatment, including an internationally recognized intensive treatment program for Obsessive-Compulsive Disorder (OCD), Severe Anxiety, and Related Disorders. These programs are often provided in combination with NBI Ranch, our nearby residential support program. Position Summary The Clinical Care Coordinator supports the coordination, organization, and continuity of patient care across NBI’s clinical programs, serving as a key point of connection between patients/families, clinicians, administrative team members, and leadership. This role helps ensure that care-related communication, scheduling support, documentation, and administrative coordination are handled in a timely, organized, appropriate, and HIPAA-compliant manner. This Clinical Care Coordinator has a specialized focus on NBI’s intensive patients and programs, where the role requires strong follow-through, attention to detail, proactive coordination, and the ability to manage complex care-related logistics over time. Clinical Care Coordinators are also cross-trained in admissions to support continuity between inquiry, intake, and treatment start when needed. Essential Functions & Responsibilities The Clinical Care Coordinator holds primary administrative coordination responsibility for NBI’s intensive patients and programs. This includes maintaining ongoing oversight of care-related logistics, monitoring coordination needs, anticipating gaps, and helping ensure that intensive patients remain organized within the appropriate program structure. This area of responsibility is focused less on volume-based work and more on managing complexity, continuity, and follow-through. The Clinical Care Coordinator helps ensure that intensive patients are scheduled in alignment with treatment recommendations, that relevant updates or changes are communicated to the appropriate team members, and that patient/family needs are addressed through the appropriate clinical, administrative, or leadership channels. Patient & Family Communication / Documentation & Compliance— 25% Serves as a professional and compassionate point of contact for patients and families regarding care-related logistics, scheduling expectations, program information, and next steps. This responsibility requires clear, timely, and appropriate communication while maintaining discretion, role boundaries, and a patient-centered approach. Admissions Support – 5% Clinical Care Coordinators are cross-trained in admissions workflows to support continuity between inquiry, intake, and treatment start when needed. This responsibility supports smooth patient transitions and coverage needs while keeping the CCC’s primary focus on active patient care coordination. Required Experience & Education High School degree required Associates Degree or Undergraduate Degree Preferred Previous customer service experience required At least 2–3 years of full-time experience in a fast-paced healthcare practice required Ability to work on-site in Weston, FL location Required Knowledge, Skills and Abilities Excellent verbal/written communication skills coupled with strong interpersonal skill. (Bilingual in English/Spanish preferred). Ability to promote and maintain a flexible, positive, team-oriented, and customer-focused attitude within and between departments. Ability to deal professionally, courteously, and efficiently with the patients and staff. Must demonstrate patience, empathy, and respect. Excellent organizational skills with strong attention to detail, follow-through, and commitment to quality. Knowledge of clinical terminology, spelling and office ethics Excellent administrative, data entry, and customer service skills. Must be able to multi task, learn quickly and adapt to change easily. Excellent prioritization skills.
