Office & Facility Operations Associate

We are seeking an Onsite Shipping & Receiving Associate to support daily operations. This role will serve as a key point of contact for visitors, employees, vendors, and delivery personnel while providing administrative and shipping/receiving support. The ideal candidate will have prior shipping and receiving experience, strong organizational skills, and the ability to lift up to 35 lbs. Approximately 25% of the daily responsibilities will involve logging and managing incoming packages and deliveries. Role & Responsibilities Administrative Support Greet and assist visitors, employees, vendors, and delivery personnel Manage incoming phone calls, emails, mail, and general inquiries Perform data entry, filing, document preparation, and administrative tasks Support employees and senior leaders with general administrative requests Shipping & Receiving (~25% of role) Receive, inspect, log, and distribute incoming packages and deliveries Maintain accurate records of incoming and outgoing shipments Coordinate shipping/receiving activities with carriers and vendors Route packages and materials to appropriate departments or individuals Lift and move packages up to 35 lbs Office & Facility Operations Maintain organized and professional common areas and reception spaces Operate office equipment (copiers, scanners, etc.) Monitor and order office supplies; maintain inventory levels Communicate with vendors, service providers, and building management Scheduling & Events Schedule meetings and conference rooms; maintain master calendars Assist with company meetings, events, and office activities Safety & Security Support Support a compliant, safe, and hazard-free workplace Assist with facility inspections and emergency response planning/drills Assist with hazardous waste shipment coordination Manage physical access control (keys and badges) Support building surveillance and assist with investigating security incidents Project Overview Supports daily front-office and lab operations in an onsite lab/office environment Serves as a key point of contact for visitors, employees, vendors, and delivery personnel Requirements Previous experience in a receptionist, administrative, office operations, or similar role Prior shipping and receiving experience Ability to lift and move packages up to 35 lbs Excellent verbal and written communication skills Strong organizational and time-management skills Excellent attention to detail and follow-through Ability to multitask and prioritize competing responsibilities Strong problem-solving and interpersonal skills Professional interaction with employees at all levels, visitors, vendors, and external contacts Proficiency with Microsoft Office (Word, Excel, PowerPoint) Comfortable working in an onsite office/lab environment High school diploma or equivalent Nice-to-Haves Associate or bachelor's degree in Business Administration, Human Resources, Office Administration, or related field Office management or administrative certification Relevant certifications: CAP, MOS, PMP, or Six Sigma Other Details Location: Fully onsite (SFO/ Mountain View - 1 at each location) #J-18808-Ljbffr Accelon Inc.
