Patient Service Representative

Position Overview

We are hiring a Patient Service Representative to support a high-volume surgical practice. This role is responsible for greeting patients, managing registration, answering high-volume phone calls, verifying insurance, collecting payments, scheduling appointments, and helping create a smooth patient experience from start to finish.

This is a great opportunity for someone with medical, dental, specialty clinic, physical therapy, or surgical office experience who enjoys a fast-paced front desk environment and wants to grow within healthcare.

Responsibilities

  • Greet and check in patients upon arrival
  • Process 60-100+ patients daily in a busy surgical practice
  • Answer high-volume phone calls and respond to patient questions
  • Maintain quick response times and strong phone service standards
  • Register new and existing patients in the EMR
  • Schedule patient appointments and update patient documentation
  • Verify insurance eligibility, benefits, and network status
  • Review HMO/PPO coverage, co-pays, co-insurance, and patient responsibility
  • Use insurance portals such as Availity to confirm coverage
  • Collect co-pays, self-pay payments, balances, and patient financial responsibility
  • Monitor patient flow through the waiting area
  • Rotate between front desk stations and back-office administrative tasks
  • Assist with voicemails, emails, medical records, document sorting, and other office duties
  • Help solve patient issues in real time and limit unnecessary callbacks
  • Support clinical and administrative teams to keep the schedule running smoothly

Qualifications

  • High School Diploma or equivalent required
  • At least 1 year of medical or dental office experience required
  • Previous medical receptionist, patient service, patient access, front desk, or insurance eligibility experience preferred
  • Must understand insurance basics, including HMO, PPO, co-pay, co-insurance, eligibility, and network status
  • Experience using EMR systems required; Athena 1 experience is a plus
  • Experience using insurance portals such as Availity preferred
  • Strong verbal and written communication skills
  • Professional phone presence with a warm and patient-focused approach
  • Ability to work in a fast-paced, high-volume environment
  • Strong attention to detail and organization
  • Ability to multitask while maintaining accuracy
  • Medical terminology knowledge preferred
  • Dental office, physical therapy, surgical clinic, cosmetic, esthetics, or high-volume healthcare office experience is a plus

Schedule

Monday-Friday with rotating shifts between 6:30 AM and 5:30 PM

Typical shifts may include:

  • 6:30 AM-3:00 PM
  • 7:00 AM-3:30 PM
  • 8:30 AM-5:00 PM
  • 9:00 AM-5:30 PM

Candidates must have flexibility to work rotating shifts. The manager may be open to some schedule adjustments for the right candidate.

Saturday rotation:

  • Approximately 1 Saturday every 6 weeks
  • Saturday hours: 7:30 AM-11:30 AM
  • Employees receive a half-day off on the Friday before their Saturday shift

Work Environment

This is a busy surgical practice with a team-focused culture. The front desk team works closely with the Front Desk Manager and a team of Care Specialists to support patient flow, phone coverage, insurance verification, registration, and administrative tasks.

This is not a slow front desk role. The ideal candidate is high-energy, detail-oriented, professional, and comfortable helping patients while managing multiple priorities.

Training

Training is hands-on and supportive. The team is trainee-focused and adjusts to different learning styles. New hires are supported as they learn the practice workflows, EMR system, insurance processes, and patient flow expectations.
