Seeking a Full-Time Administrative Assistant to join our dynamic Real Estate team in Henderson, NV. This role requires availability to work in the office Monday to Friday, with 2 Saturday half-day shifts a Month. Total hours are 35 -40 hours weekly. This position offers Bonus pay for applicants who have or obtain their Real Estate license, and that also allows other commission-based income opportunities as well.

We are a highly productive Top Selling Real Estate Group searching for a motivated Real Estate Assistant eager to learn and grow within the industry. If you thrive in a fast-paced and fun environment, this opportunity is for you. This position offers a significant chance to support daily Real Estate Sales office operations, basic bookkeeping, and Leads & Project management.

The ideal candidate should be a quick learner, resourceful, and able to commit to a Possible Hybrid position, as part of Career Advancement within. We are looking for a dedicated individual with a car ( Gas Allowance included), efficient under pressure, and proficient in Spreadsheets and the Google Office Suite. Some basic Knowledge of our marketing tools, like MS Publisher and Adobe Suite, is a bonus.

Successful candidates will be contacted for a basic phone interview as the initial step. Compensation: RE Licensed Applicants start at $20/hr with a bonus structure available. We are willing to train the right highly qualified canidate that are not yet holding an NV RE License, but is willing to obtain one, and we also offer to cover some of the costs required to obtain the license.

Only candidates who have the Core Job Responsibilities Skills listed should apply for this position. It is a Fast paced Learning enviroment, the New Hire will have to already possess the majority of the Software & Time mangement Skills mentioned in the Job Responsibilities section of the Ad.

Compensation:

$20 hourly

Responsibilities:

Administrative & Office Management

  • Manage daily communications through Google Workspace, including Gmail, Google Calendar, Google Drive, Google Sheets, Slack, text messaging, and other team communication platforms.
  • Maintain organized digital and physical filing systems, including scanning, archiving, and document management through Dropbox and Google Drive.
  • Coordinate office operations, supplies, and administrative resources to ensure an efficient work environment.
  • Manage special projects and administrative initiatives as assigned by the Team Leader.

Real Estate Transaction & Listing Coordination

  • Oversee all aspects of Listing and Transaction Coordination from contract to close.
  • Maintain accurate records within the team's CRM and real estate software platforms.
  • Coordinate deadlines, compliance requirements, disclosures, and transaction documentation.
  • Manage listing preparation activities, including scheduling vendors, photographers, stagers, inspectors, and other field service providers.
  • Ensure all listings are properly prepared and market-ready prior to going live.

Calendar & Scheduling Management

  • Manage the Team Leader's calendar, appointments, meetings, showings, and client events.
  • Coordinate and confirm property showings, listing appointments, inspections, and vendor schedules.
  • Monitor schedules to ensure deadlines and appointments are met efficiently.

Client & Vendor Relations

  • Serve as a primary point of contact for clients, vendors, agents, and service providers.
  • Communicate professionally via phone, email, text, and CRM platforms.
  • Assist with client follow-up, showing feedback collection, and reporting.
  • Prepare and maintain Open House and Showing Activity Reports utilizing Google Sheets and direct client communications.

Bookkeeping & Financial Administration

  • Manage daily bookkeeping activities for both business and personal accounts as directed.
  • Process invoices, track expenses, pay bills, and maintain financial records.
  • Coordinate with the company's CPA, bookkeeper, and other financial professionals to ensure timely and accurate reporting.

Human Resources & Team Support

  • Assist with hiring, onboarding, and team administration processes.
  • Coordinate payroll-related documentation and communication with accounting professionals.
  • Maintain confidentiality regarding employee and company information.

Personal & Executive Assistant Support

  • Provide executive-level support to the Team Leader.
  • Coordinate travel arrangements, appointments, banking errands, and personal administrative tasks.
  • Anticipate needs and proactively resolve issues to maximize the Team Leader's productivity.

Technology & Systems Requirements

  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
  • Experience with CRM systems and real estate transaction management software.
  • Strong working knowledge of Microsoft Excel, Google Sheets, Dropbox, and cloud-based document management systems.
  • Ability to learn and adapt to new technology platforms and real estate software quickly.

Qualifications:
  • Experience in managing daily communications using Google Workspace, including Gmail, Google Calendar, and Google Drive.

  • Proven track record of coordinating office operations and managing administrative resources efficiently.
