Assistant Project Manager

MalaceHR is seeking an Assistant Project Manager (APM) to support facilities, space management, and project-related initiatives at a client site in Northeast Austin, Texas. This position will work closely with the Space Management and Projects teams , providing a combination of field support, data collection, reporting, AutoCAD updates, and facilities project coordination.

This role is ideal for someone with strong AutoCAD/CAD experience who enjoys working on a variety of assignments and is comfortable moving between office-based responsibilities and hands-on field verification. The APM will support the broader facilities organization and the leader responsible for overall facility operations.

This is a facilities-focused project support role and is not primarily responsible for project scheduling, budgeting, or financial management.

Key Responsibilities

• Collect, organize, and maintain project and facilities-related data.
• Prepare reports, presentations, and project updates using Microsoft PowerPoint and other Microsoft Office applications .
• Perform field verification activities, including:
  • Taking project progress photos.
  • Collecting field measurements.
  • Verifying existing site conditions.
  • Validating seating plans and space layouts.
• Update and maintain master AutoCAD/CAD drawings and facility plans .
• Perform quantity take-offs using AutoCAD or CAD viewing software.
• Support space planning, facilities management, and project teams with day-to-day project needs.
• Assist with the documentation and coordination of facility-related projects and assignments.
• Review drawings, layouts, and field conditions to help ensure information is accurate and current.
• Assist in preparing proposals, reports, findings, and presentation materials for internal teams and clients.
• Communicate project information clearly to team members, stakeholders, and client representatives.
• Support a wide variety of facilities and project-related assignments as business needs change.
• Work independently while maintaining strong communication with project and facilities leadership.

Required Qualifications

• 2+ years of AutoCAD/CAD experience preferred.
• Demonstrated ability to read, update, and work from facility drawings and floor plans.
• Comfortable performing field measurements and verifying physical site conditions.
• Strong Microsoft Office skills, particularly PowerPoint, Word, and Excel .
• Ability to collect, organize, and present data accurately.
• Strong attention to detail and organizational skills.
• Effective written and verbal communication skills.
• Ability to manage multiple assignments and priorities.
• Comfortable working independently with limited supervision.
• Willingness to perform both desk-based and field-based responsibilities.
• Ability to adapt to a wide range of facilities and project support assignments.

Preferred Qualifications

• Previous experience supporting facilities management, space planning, construction, engineering, or workplace projects .
• Experience performing quantity take-offs from drawings.
• Experience working with JCI OpenBlue is preferred but not required.
• Bachelor's degree in Business Administration, Engineering, Construction Management, Facilities Management, Architecture, or a related field is preferred.
• PMI or PMP certification is a plus but not required.

The ideal candidate is humble, adaptable, detail-oriented, and eager to learn . This individual should be comfortable taking on a variety of assignments rather than operating within a narrowly defined project management role.

Successful candidates will have a strong foundation in CAD, be comfortable working in the field, and have the ability to support senior facilities leadership with accurate drawings, measurements, reports, presentations, and project information.
