Medical Support Assistant (MSA) - VA Healthcare

Location: San Francisco, CA and VA Community-Based Outpatient Clinics (CBOCs)

Job Summary

We are seeking experienced Medical Support Assistants (MSAs) to support the San Francisco Veterans Affairs Health Care System (SFVAHCS) and its Community-Based Outpatient Clinics.

The MSA will provide medical administrative, patient scheduling, reception, telephone, and records support to ensure smooth daily clinic operations and excellent patient service.

The ideal candidate will have strong healthcare administrative experience, excellent communication skills, and the ability to work effectively in a fast-paced VA healthcare environment.

Key Responsibilities

• Schedule and coordinate patient appointments according to VA scheduling policies and procedures.
• Manage appointment requests, cancellations, rescheduling, and follow-ups.
• Answer incoming patient and clinic phone calls promptly and professionally.
• Provide front-desk and reception support.
• Greet and assist patients, families, visitors, physicians, and clinic staff.
• Verify and update patient demographic and administrative information.
• Document relevant patient communications in the electronic medical record.
• Maintain accurate and complete patient records.
• Assist with insurance and billing-related administrative activities.
• Coordinate with Lead MSAs, supervisors, schedulers, and administrative staff.
• Ensure patient communications and scheduling requests are completed accurately and on time.
• Provide high-quality customer service to Veterans and their families.
• Follow VA/VHA scheduling policies, procedures, and performance requirements.
• Maintain patient confidentiality and protect sensitive healthcare information.
• Support clinic quality-improvement activities and administrative performance measures.
• Follow applicable VA, OSHA, JCAHO, and facility policies and procedures.
• Escalate scheduling, patient-service, or administrative issues to the appropriate supervisor.
• Support daily clinic operations and perform other administrative duties as assigned.

Required Skills

• Experience in medical administration, healthcare scheduling, medical reception, or patient services .
• Experience scheduling patient appointments in a healthcare environment.
• Strong telephone and customer service skills.
• Experience working with electronic health records (EHR/EMR).
• Strong computer and data-entry skills.
• Excellent communication and interpersonal skills.
• Ability to handle multiple tasks in a busy healthcare environment.
• Strong attention to detail and organizational skills.
• Ability to maintain patient confidentiality.
• Ability to work independently and as part of a healthcare team.

Preferred Qualifications

• Previous experience supporting VA/VHA healthcare facilities .
• Experience with VistA .
• Experience with CPRS (Computerized Patient Record System) .
• Experience with Integrated Scheduling Solution (ISS) .
• Previous experience as a Medical Support Assistant (MSA), Medical Administrative Assistant, Patient Scheduler, Medical Receptionist, or Healthcare Coordinator .
• Knowledge of VA outpatient scheduling policies and procedures.
• Experience working in a government healthcare environment.
