Night Auditor

Location: Hampton Inn Pensacola Beach Job Overview The Night Auditor is responsible for checking front office accounting records for accuracy daily, summarizing and compiling information for the hotel's financial records while tracking room revenue, occupancy percentages, and other front office operating statistics. The role also prepares a summary of cash, check, and credit card activities, reflecting the hotel's financial performance for the day, and posts room charges and taxes to guest accounts, including transactions not posted during the day by the front office cashier. Responsibilities Approach all interactions with guests and employees in a friendly and service‑oriented manner by maintaining a positive demeanor. Promote a positive and caring work environment by addressing and resolving conflicts calmly and poised. Provide quality service to all guests by responding to their requests promptly, efficiently, and courteously during check‑in, check‑out, and throughout their stay. Process guests’ check‑ins and check‑outs as needed, assign rooms for the day per guest requests and reservation details, assist guests in booking and canceling reservations as needed, post room charges and taxes to guest accounts, and process payments for guest bills. Transfer charges and deposits to master accounts, verifying all account postings and balances. Print up and file reservations for the next business day. Track room revenues, occupancy percentages, and other front office statistics. Prepare a summary of cash, check, and credit card activities. Verify postings and documents for accuracy, and record, store, access, and analyze computerized financial information. Follow the End of Day/Night Audit Checklist and run end‑of‑day process in the property management software (PMS). Perform wake‑up calls and stay current on developments within the hotel by reviewing communications to each shift. Minimize loss of revenue by adhering to established credit and inventory control procedures, including retrieving proper approval codes for cash and card‑paying guests. Monitor customer accounts to ensure adherence to hotel credit limits and verify accuracy of registration information such as name, address, and method of payment. Adhere to hotel policies regarding the use of cash banks, drop/deposit logs, and other company policies, procedures, and standards. Maintain a clean and safe work environment and report any safety issues to management immediately. Operate and drive a shuttle (as applicable by property). Perform any other duties as assigned by management. Qualifications High school diploma or equivalent. Minimum 1 year of customer service experience; hospitality industry preferred. Ability to interpret a variety of instructions provided in written, oral, or scheduled form. Ability to read, write, and speak effectively in English to communicate with guests and team members. Knowledge of reservation and POS systems. Ability to work with computers and strong knowledge of operating software. Must be able to multi‑task and be detail‑oriented. Must be a team player.
