Personal Assistant & Marketing Coordinator What do you get? Oh and check out our Google reviews. There is no one in the area that even comes close... This position supports me — Ron Nanosky — directly. My calendar, my inbox, my follow‑ups, my travel, my commitments inside and outside the agency. It exists so that things stop falling through the cracks, and so I can spend my time on the handful of things only I can do. It is not an insurance job. You do not need a license and you will not sell anything. It is not a front desk job either — you are not here to answer the main line and greet walk‑ins. What it actually is: part personal assistant, part project chaser, part marketing coordinator. A large share of it is talking to people on my behalf — clients, carriers, vendors, our own team — face to face and on the phone. When you call, you are me for that minute, and people will judge this agency by how you handle it. Some days you are protecting my calendar. Some days you are on the phone with a client getting the one missing signature that is holding up a deal. Some days you are walking into a client’s office with marketing materials and shaking hands. Some days you are running our booth at a trade show and talking to strangers all day. If that variety sounds exhausting rather than fun, stop here — we will both be happier. What you'll actually do: Own my calendar and inbox. Schedule it, protect it, resolve conflicts, and tell me when I have committed to something impossible. Sort what needs me from what doesn’t, draft replies in my voice, and make sure nothing sits for a week because I never saw it. Prepare me and then close the loop. Agenda, context, what was said last time, what I promised. Capture what comes out of the meeting and chase the follow‑ups until they are actually done — including chasing me. Speak for me. You will call clients, carriers, vendors, and partners on my behalf, and you will meet some of them in person. You need to be able to pick up the phone cold, be warm and professional in thirty seconds, get what we need, and leave the person glad they took the call. Nervous dialers do not last in this seat. Follow up to get deals across the line. A signature, a document, a photo of a VIN, an answer from a carrier. You will be the one calling, texting, and emailing until we have it. Politely and persistently, and without needing me to remind you. Get marketing materials where they need to be. Dropping packets and gifts at client and partner offices, keeping our materials stocked, and handling the small deliveries that never seem to get done. These are face‑to‑face visits, not drop‑and‑runs — you are representing us at the door. Run the events. Trade shows, community events, carrier functions, and our own employee events — booth setup and teardown, registrations, giveaways, signage, catering, the packing list, and the follow‑up afterward. Handle travel, expenses, and paperwork. Registrations, reservations, receipts, and reimbursements — kept current instead of reconstructed in a panic at quarter end. Run personal errands. Some of this job is not agency work. Appointments, scheduling, a run to the store for something I need. If that is uncomfortable for you, this is not the right position and I would rather you know now. Know where things stand. When I ask “what happened with that,” you should already know. The Part I Have to Be Straight With You About I get ideas at inconvenient times. Sunday morning, nine at night, in the car. When that happens, I am going to call you or text you, and I need it written down and turned into something real — not lost because it was after five. I am not asking you to work every weekend. I am telling you that a call or a text will happen outside business hours, that occasionally something needs handling before Monday, and that you need to answer me. Communication back to me is the whole job. “I saw it, I'm on it” or “I saw it, it can wait until Monday” — either one is fine. Silence is not. If your phone goes in a drawer at 5:01 on Friday and that is non‑negotiable for you, I respect it, and this is the wrong job. If you are the kind of person who would rather capture the idea than lose it, keep reading. Requirements: You must be able to keep your mouth shut. You will see compensation, personnel matters, financials, client situations, and my personal business. All of it stays with you, during employment and after. This is the one non‑negotiable. You have to be good with people, live. On the phone and face‑to‑face, with clients, carriers, vendors, and our team. Polished, warm, and confident without a script. If cold‑calling a client to chase a document makes your stomach turn, this is the wrong seat. Two or more years in an administrative, executive assistant, office manager, or event/marketing coordinator role. If you don't have that but you have run something complicated and kept it organized, tell me about it. Strong writing. You will draft in my voice, and it needs to read like me and be free of errors. Solid with technology, starting with Microsoft 365 — Outlook, Word, Excel, and Teams. You should already be comfortable living in Outlook, because my calendar and inbox are most of this job. Everything else in our stack we will teach you, and there is a lot of it. Valid driver's license, reliable transportation, and willingness to drive for errands, deliveries, and events. Ability to pass a background check and reference checks. Seriously, we will do them. If that is going to be embarrassing for either of us, you can stop reading now. Still there? Awesome. Since then, we have grown into a full‑service independent insurance agency and have two beautiful offices in Boardman and Salem. Our team is highly trained and well‑versed in the insurance industry. Being an Independent Agency, we have multiple companies to choose from. So, we have many options to provide peace of mind to our preferred market clients throughout the country by matching them with the right Home, Auto, Business, and Life insurance products. We serve our clients first while representing our carrier partners well in order to provide the RIGHT insurance product at the BEST price. Our core values are at the heart of everything we do. We have big, ambitious dreams that we work hard toward achieving, all while having a great time! Compensation $35,000 to $45,000+ depending on experience, plus performance bonuses and benefits. The plus is not decoration. This is a salaried position rather than a commission one, so I will not pretend you can out‑earn the range by selling something — but there are performance bonuses on top of your base, tied to agency production and profitability, same as everyone else here, and to how well you execute your end of it. What I will also tell you is that the scope of this job grows with how much I can trust you, and the pay follows the scope. The person who starts managing a calendar and ends up running events, vendors, and a budget is not making the same money two years later. Flexibility Our normal business hours are 9‑5 Monday through Friday. This position is based in our Boardman office, with travel to Salem, client sites, and events as needed. Clients deserve to reach us when they expect us. We rely on consistent availability during open hours, and we also understand you have commitments outside of work. Events and trade shows occasionally mean an early morning, a long day, or a weekend. Why you would want this job You like knowing how things really work. You get real satisfaction out of taking a mess and making it orderly. You are the friend who remembers everyone’s details, plans the trip, and books the table. People tell you things because they know it stops with you. And you actually like people. You don't dread the phone, you don't mind walking into a room where you know nobody, and you are the one who ends up in a good conversation with a stranger at the event. You would rather make the thing happen than be on stage — but you are perfectly comfortable out front when the job calls for it. Here is where you need to be honest with yourself. If you are most comfortable being paid for showing up from 9‑5 and doing what you are assigned, this is NOT the job. This position requires you to figure out what needs doing before anyone assigns it. You really do need to understand how rewarding it is to do HARD work and accomplish DIFFICULT tasks. Your value is tied directly to being the one who never repeats any of it. If you enjoy being in the know and letting everyone else know it, we will have a problem. Anticipation. The good version of this job is not "Ron asked, and I did it." It is "Ron was about to ask, and it was already done." Follow‑through. Small things, finished completely, every time. This job is made almost entirely of tasks that live or die on the last ten percent. Organization under interruption. You WILL be interrupted, constantly, usually by me, usually mid‑task. You need to absorb it, put the first thing back down where you left it, and not lose the thread. Talking to people. This is the one most people underrate when they picture an assistant job. You will be on the phone and in front of people constantly, speaking for me. That means being articulate without a script, reading the room, staying warm when the other person isn't, and knowing when to push and when to back off. You are also the buffer between me and everyone who wants my time, so saying no on my behalf — graciously, so they still like us afterward — is part of the job. Computer confidence. We use many applications. Some are intuitive, some are quirky. You should enjoy diving into systems and adapt when they update and look totally different. If a web application changing its look throws you, you probably won't want to apply here. Your Personality You need to be steady. Things go sideways here regularly, and I need the person next to me to get calmer as it gets worse, not louder. You have to genuinely like people and be good with them — that is not a soft nicety here, it is a daily requirement. Ethical and honest, no matter what. Punctual. A problem solver. You have to be willing to tell me I am wrong. If you only ever agree with me, I have hired an expensive echo. You have to take correction without getting defensive or discouraged. I will correct you. It is not personal. Above all, a great ATTITUDE. Notice I said great — good is not good enough. We can train you on our systems. We cannot train that. What This Job Demands of You Reliability and confidentiality. Being here when you said you would be. Meeting the deadline you agreed to. Answering the message you said you would answer. Keeping what you learn here to yourself, at five o'clock and after your employment ends. Commit to those two without hedging, and the rest is learnable. We will not micro‑manage. We do have standards; they will be clear, and we will correct you when you drift from them.
