Medical Assistant

Position Overview

We are seeking an experienced Front Office Medical Assistant to join a busy outpatient healthcare team. This position plays an important role in creating a smooth patient experience by managing patient check-in, scheduling, insurance verification, payments, telephone communication, and EMR workflows.

The ideal candidate has 1-3+ years of Front Office Medical Assistant experience, preferably within Family Practice, Primary Care, or Urgent Care, and is comfortable supporting multiple providers in a fast-paced environment. Strong knowledge of medical terminology, insurance plans, medications, and appointment scheduling protocols is important for success in this role.

Key ResponsibilitiesPatient Check-In & Registration

• Greet and check in patients while providing professional and courteous service.

• Verify insurance eligibility and update patient demographics and insurance information.

• Collect copays and other patient payments.

• Distribute required paperwork based on appointment and visit type.

• Maintain accurate records of payments and payment methods.

• Reconcile and balance collected payments before lunch and at the end of each day.

• Maintain a clean, organized, and welcoming lobby and sanitize patient-facing areas according to clinic procedures.

Scheduling & Telephone Support

• Answer incoming calls and provide appropriate assistance to patients.

• Accurately document messages and route them to the appropriate provider or department.

• Schedule, reschedule, and cancel appointments according to individual provider protocols.

• Contact patients to confirm upcoming appointments.

• Identify the appropriate appointment type and scheduling frequency based on the patient's needs and established guidelines.

• Appropriately respond to urgent or emergency-type calls and escalate concerns according to clinic protocols.

EMR & Patient Communication

• Monitor and manage assigned EMR inboxes, voicemails, and emails throughout the day.

• Communicate provider instructions and follow-up requirements to patients.

• Assist patients with coordinating required laboratory work, follow-up visits, and other provider requests.

• Maintain complete and accurate patient information within the EMR.

• Support workflows involving medication prior authorizations, immunizations, patient forms, Durable Medical Equipment (DME), home health services, and Medicare Annual Wellness Visits.

Required Qualifications

• 1-3+ years of Front Office Medical Assistant experience

• Previous experience in Family Practice, Primary Care, Urgent Care, or a similar outpatient environment

• Experience with patient check-in, registration, and appointment scheduling

• Experience verifying insurance eligibility and collecting patient payments/copays

• Knowledge of Medi-Cal, Medicare, and commercial insurance plans

• Experience working with an EMR/EHR system

• Familiarity with medications and controlled medications

• Understanding of common medical terminology and various office visit types

• Ability to recognize abnormal blood pressure and glucose ranges and appropriately escalate concerns

• Experience handling high-volume phone calls, patient messages, and provider requests

• Strong customer service, communication, organization, and multitasking skills

• Ability to support multiple providers and manage competing priorities

Preferred Qualifications

• Epic experience

• Medical Assistant certification

• Bilingual English/Spanish

• Experience with NextGen, Athenahealth, eClinicalWorks, or similar EMR platforms

• Experience with medication prior authorizations

• Knowledge of DME, home health, immunization, and Medicare Annual Wellness workflows

• Previous Pediatric Primary Care experience

Pediatric Office Requirements

Candidates being considered for Pediatric locations should also have:

• Previous Pediatric Primary Care experience

• Knowledge of pediatric wellness visit schedules and age requirements

• Experience communicating effectively with children and their parents/guardians

• Familiarity with pediatric immunization and routine wellness workflows

• A friendly and patient-focused approach when working with children

Pay and Benefits

The pay range for this position is $23.00 - $23.00/hr.
