Project Manager Assistant

$30 - $35 per hour

Job Summary The Project Manager Assistant is the administrative support personnel for assigned projects. This role ensures all administrative duties associated with contracted work are carried out in accordance with contractual obligations and the Company’s requirements, including safety, quality, management, and financial performance. Responsibilities include efficient word processing, general filing, timekeeping, records management, correspondence, and handling project financial records, as well as submitting required documents for billing, invoicing, purchasing, and records verification to achieve Company performance and customer delivery goals. Job Duties and Responsibilities Perform word processing, general filing, timekeeping, records management, correspondence, and processing of project-related financial documents. Self‑manage workload distribution. Monitor, record, and report project/job administrative progress and work‑related quality and safety issues; provide periodic status reports to supervisor. Coordinate and maintain all project financial documents, software system inputs, and related billing/invoicing issues in accordance with Company policies. Act as the project administrator for interface with customer representatives. Create, develop, implement, and revise project process improvements. Preserve confidential information; solve problems independently and manage multiple projects simultaneously. Manage calendars, schedule meetings, and arrange travel itineraries; oversee daily office activities. Assist the program accounting department across multiple project sites by spot‑checking labor, material, other expenses, and subcontractor costs that roll up into monthly program reports. Review project site expenses. Screen telephone calls and resolve routine and complex inquiries. Track vacation and time‑off requests and maintain an attendance database for program employees. Track program‑level billing, reporting, and metrics (SPI, KPI, CPM) and maintain program‑level dashboards. Prepare and maintain daily reports for the purchasing manager; verify purchase orders for accuracy. Open and sort incoming mail. Create, correct, and revise complex Excel spreadsheets, tables, charts, and graphs. Schedule and help manage weekly and monthly meetings. Support document control; spot‑check and maintain accuracy and delivery to customer. Conduct audits to ensure vendor/subcontractor compliance. Review invoices for accuracy and assist with payment preparation (supporting role). Perform reporting audits for accuracy and overall delivery (safety reports, QA, labor forecasts). Maintain program‑level dashboards and data acquisition/collection. Travel to project sites 1‑3 day trips on a quarterly basis may be required. Other responsibilities as assigned. Salary: $30.00–$35.00 per hour. Qualifications High School diploma or GED equivalency. Minimum 3 years of overall experience, with at least 2 years in a related telecommunications or construction administrative position. Proficient with Microsoft Office (Word, Excel, MS Project). Experience in customer interface or liaison roles. Ability to work independently and manage multiple tasks/projects simultaneously. Basic knowledge of project management systems; ability to learn Company and customer systems. Must be able to travel locally or regionally as needed; 1‑3 day trips may be required quarterly. Must meet Company minimum driving standards. Physical and Mental Requirements Self‑motivated, positive, professional demeanor. Proven problem‑solving and critical‑thinking skills. Effective reading, writing, and oral communication to project personnel. Ability to interpret project documents, including timesheets, spreadsheets, and billing documents.
