Carrier Payables Specialist

Job SummaryThe Carrier Payables Specialist is responsible for the full cycle of insurance premium payables, including, but not limited to, timely and accurate payment of Insurance carrier accounts and reconciliation, research, and balancing of complex general ledger account transaction activity, ensuring critical timelines are met. The Carrier Payables Specialist is part of a team effectively processing transactions for over 100 carriers across multiple entities, branches, and departments, including external and intercompany transactions.Essential Job FunctionsAccurate and timely reconciliation of carrier statements and/or individual carrier invoices against EPIC invoicing, ensuring accuracy and compliance with internal policies and external regulations (both state and insurance carrier requirements)Research and resolve discrepancies such as missing statements, payment variances, billing discrepancies and unapplied cash, working with brokers and carriers to resolve issues, as well as with internal Account Managers to determine the appropriate corrective action neededDevelop and maintain focused knowledge on assigned carriers to ensure effective execution of the processes around each carrier’s expectationsVerify client billing and collection has occurred, and/or escalate for advance payment considerationProcess payments, using multiple bank accounts, depending on the entityIndependently create adjusting entries, as necessary, throughout the reconciliation processProcess payments to finance companies as needed for financed policiesProcess returned premiums, including the appropriate determination for when returns should be issued to customers vs. premium finance companiesCritical thinking and decision making involved with reconciliation of general ledger liability balances, against detailed subsidiary, for all carriers in areas of responsibility, to anticipate E&O exposure and risk of financial errors for accurate record keeping in the agency management systemDevelop and maintain effective relationships with carrier contacts, ensuring open communication and a joint resolution process, as issues ariseSupport team members in similar roles, as a backup or in heavy volume times, in support of a strong team environment, including mentoring newer members to the teamSupport other Insurance Accounting functions, with knowledge and developed experience, as neededExpectation for the use of AI/Technology as an ongoing resource in the performance of essential job functions, ensuring overall efficiencyPerform all actions relating to customers and companies in a manner that will avoid issues involving potential errors and omissionsParticipate in seminars and other training for knowledge and skill developmentAdditional ResponsibilitiesThis job description is intended to describe the level of work required of the person performing the position. Each manager will provide details on any telecommuting opportunities, as well as scheduling, within their department.Job Qualifications2 – 4 Years’ experience in agency accounting, with demonstrated knowledge of accounts receivable and payable preferredHigh School diploma requiredCollege-level accounting courses or equivalent experience preferredKnowledge, Skills, and AbilitiesKnowledge and execution of processes to meet regulations dictated by carriers, state Departments of Insurance, and other jurisdictionsAdvanced acumen and strategic thinking to discern the appropriate approach neededBasic accounting knowledge of journal entriesStrong computer skills, with a focus on the Microsoft Office suite of products (Word, Excel, Outlook, Teams, etc.), with an understanding of automated agency management systemsStrong organizational, analytical, and problem-solving skillsDetail-oriented, accurate with data input, and have math skills, including the ability to add, subtract, multiply, and divide numbersTeam player and willing to find accommodating solutions for our customers, companies, and the AgencyAbility to work within a fast-paced, changing priority environmentSelf-motivated, with the initiative to prioritize and be self-directedRegular and punctual attendance is requiredExcellent communication skills, both verbally and in writing, to interact with various levels of organization, both internally and externallyExcellent interpersonal skills, with the ability to interact effectively with both colleagues and managers, across all levelsAbility to promote and maintain a team environment, willing to find accommodating solutions for our customers, companies, and the AgencyAbility to successfully adhere to company policies and procedures, as well as maintain strict confidentialityWork Conditions and AccommodationsFast-paced, multi-tasking, office environment with periodic high disruption and changing prioritiesAbility to perform approximately 80% sedentary work, exerting up to 10 pounds of force occasionally, and negligible force frequentlyAbility to lift up to 20 pounds occasionallyRequires operation of a computer workstation, including keyboard and video displayAll requirements may be modified to reasonably accommodate physical or mental impairment #J-18808-Ljbffr INSURICA
