Case Administrator

Our client, a leading organization in the financial regulatory industry, is seeking a dedicated and detail-oriented Case Administrator to join their team. As a vital member of the Dispute Resolution Department, you will manage a docket of arbitration cases while serving as a key resource and leader within a collaborative team environment, helping ensure efficient case administration, smooth operations, and exceptional service delivery.

Job Title: Case Administrator

Location: Los Angeles, California (Hybrid)

Pay Range: $45/hr - $50/hr W2 (Dependent on Experience)

What's the Job?

• Manage assigned docket of arbitration cases, ensuring all activities proceed accurately and on schedule using the ODR portal and internal electronic docket management systems.

• Lead and support a team of Case Coordinators and Specialists by serving as a key resource, fostering collaboration, facilitating regular team communications, and helping ensure timely progression of assigned cases.

• Review cases for accuracy, completeness, and compliance with established procedures, proactively resolving any issues.

• Coordinate communications between parties and arbitrators, acting as a liaison to facilitate resolution of pre-hearing motions and requests.

• Monitor case deadlines and ensure timely responses of motions and case-related activities.

• Draft and serve arbitration awards, closing cases with financial accuracy and in a timely manner.

• Respond to inquiries from parties both orally and in writing, providing exceptional customer service.

• Provides guidance on arbitration rules and procedures, and advises panel on procedural matters.

• Monitor post-award activity and maintain accurate case records.

• Evaluate arbitrator performance, attends hearings as needed, and assists with special projects as assigned.

What's Needed?

• Juris Doctor (JD) Degree and/or Master of Laws (LLM) Degree required. Open to recent law school graduates as well as attorneys with prior legal experience.

• Demonstrated interest in dispute resolution, arbitration, securities regulation, litigation, mediation, or related legal fields through professional experience, academic studies, internships, or other relevant involvement. Previous experience in one or more of these areas is preferred but not required.

• Leadership experience in any setting, including academic, volunteer, extracurricular, or professional environments.

• Strong communication, interpersonal, and relationship-building skills, with a collaborative, service-oriented approach and a demonstrated ability to serve as a resource for team members and stakeholders.

• Highly organized and detail-oriented with ability to manage a high-volume caseload while balancing competing priorities and deadlines.

• Familiarity with case management systems or electronic docket management systems highly preferred.

• Demonstrates discretion, sound judgment, and professionalism at all times.
