Job Summary The Cinema Studies department is encouraging applications for the Cinema Services Specialist position! The purpose of this academic services professional position is to support the development, implementation, coordination, and supervision of the goals, objectives, and activities associated with the Department of Cinema Studies & Moving Image Arts (CINE), as well as responsibility for providing needed promotional materials for the department and programs. Key Responsibilities include operational support, student employee and temp staff supervision, departmental website and social media oversight, faculty/student resource as a specialist in established operational and technical practices, operational workflow creation and implementation, as well as other needs that may arise to support program managers and faculty. Who We Are The Department of Cinema Studies & Moving Image Arts (CINE) seeks to integrate the critical, historical and theoretical study of cinema, media and the visual arts, with artistic and commercial practices. Our Department offers the academic degrees BA, and BA/MA in critical film studies, and BA, BFA, and MFA degrees in film and video arts. All of our students in the critical and production tracks complete a number of critical studies requirements including cinema history, film analysis, film theory, genres, documentary practices, directors, national and regional cinemas, and other history and theory classes. These courses are all coordinated with filmmaking and critical studies majors sharing their different expertise to make for a more engaging, deeper understanding of the subject of our studies. What Your Key Responsibilities Will Be Department Front-End Support Coordinate closely with CINE faculty and staff to ensure their objectives are accomplished and material needs are met through creative problem solving and utilization of available resources, with an eye towards process improvement. Support for current and prospective CINE students, directing to resources and to assist with inquiries or technical issues. Organizes the daily activities of the front‑office. Maintains department list serves, publishes office hours, maintains faculty and student mailboxes. Provides faculty members, students, alumni, and visitors information about the department. Provides clerical support to department administrators, faculty and staff with things like word processing, spreadsheets, designing and creating office procedures, forms and records tracking systems, and copying. Design, maintain, reorganize (when needed) and support webpages, often in consultation with faculty leadership and CINE staff. Create links to external community websites, campus resources, and CINE events when appropriate. Use the best judgment to independently improve and maintain the website including assistance to other staff members who may need assistance adjusting other parts of the site that they hold responsibility over. Event, examination, and special‑program coordinator for the department. Coordination of departmental activities and events, including working with cross‑campus offices and room availability software. Manages events and special opportunities within the department. Schedules departmentally controlled spaces for special events. Plans and coordinates the department’s commencement ceremonies. Academic Program Support Outreach Provides tours to prospective students and families who express interest in studying film, film production, and all programs offered by the department of Cinema Studies & Moving Image Arts. Plans publicity and marketing materials related to undergraduate program events. Handles external community communications, outreach to prospective students, alumni relations, a quarterly newsletter. Creates of event flyers and distribution through physical and digital means. Creatively edits CINE promotional materials using available software, requesting access to additional software when needed. Ensures departmental outreach goals are met for all programs, events, courses, and other needs as they arise. This may include contacting students within and outside the department to advertise, using any appropriate system including publishing to social media accounts owned by CINE. Collaborates with faculty and staff for outreach initiatives related to department events (i.e. visiting artists, commencement, IFS special events, CINE sponsored events, etc.) Undergraduate Program Assistance Oversees the BFA application process such as the intake of applications, dissemination to BFA committee, communication to applicants and advisors’ entry or denial into the degree program. Communicates when departmentally controlled spaces are occupied Works with all Colorado film festivals to encourage connections with CINE students when possible. Assists in undergraduate enrollment including access to scheduling system. Works to expand program resources by collecting, interpreting and reporting data to evaluate undergraduate majors, student credit hours, and funding processes and awards. Alumni Relations Catalogs alumni contact information, requests updates, sends alumni newsletters, and acts as a liaison with the CINE alumni social media accounts. Researches and analyzes alumni success, publishing results periodically. Internship Coordination Works with faculty leadership to cultivate relationships with business partners, non‑profits and arts institutions to increase the number of CINE sponsored internships. Seeks to consistently improve the internship program, keeping in mind CU system guidelines administered by the CU Boulder registrar office. Enrolls students into independent study, internships, students that require overrides, following proper procedures and maintaining confidentiality of student information as prescribed by federal, and state law, in conjunction with the CU system and CU registrar office. Job Placement Connects employers with CINE students (current and alumni). Cultivates robust industry and community relationships for CINE, tracking progress and experiences. Student Staff Supervisor This role is supervisory in nature and oversees main office student employees, including being accountable for schedules, training, methods of operation, timesheet approvals, policies, cost, and progress monitoring for position changes or the need to improve performance. Student front‑office employees are to assist in all projects across the department including but not limited to engagement, outreach, technical support, clerical support, depositing cash receipts for the Kage, and IFS, maintaining the public phone line, public email inbox. Selects and onboards front‑office student staff. Ensures student employees are staying on task and engaged. Works with H.R. service center to set up student employee appointments and resolve payroll issues of all student employees within CINE. Performs necessary disciplinary actions, if needed. Works with Business & Finance Manager to ensure the anticipated student employment schedule meets departmental budget goals. Department Operational Support This position seeks to improve efficiency and recommends process modifications and improvements based on analysis of operations. This requires continuous development of new perspectives and skills to improve processes. This position will take on projects independently that address department operation needs, including the physical maintenance of staff/faculty offices and shared spaces, by serving as: OIT and Phone Liaison Parking liaison Key/Room‑access liaison Departmental building proctor contact, submitting issues with facilities management. Digital and Analog Projection To provide support to department courses and programs, this position will be asked to act as projectionist for some scheduled events and/or screenings. Operation of analog systems, including 16mm and 35mm projection. Handling of 16mm and 35mm films and equipment to ensure good presentation while also caring for the quality of the handled prints so that they remain in good condition. Operations of digital projection systems, including DCP management and occasional creation. Includes operation and troubleshooting of Crestron systems in classrooms. Projection for events and courses would require some weekend and/or evening work hours. Tech support for faculty members related to classroom projection and implies a soft on‑call situation for times when a screening is taking place and the A/V specialist is not in the office. This is often in the evenings from 7pm to 10pm. What You Should Know This is an onsite position, with potential hybrid opportunity. The work schedule for this position can vary. Mostly working normal business hours (9-5), but will be required at times to work nights or weekends as needed for special events. Proficient computer knowledge and skills with graphic design applications, particularly from the Adobe CC Suite (Premiere, Photoshop, InDesign etc.). Successful experience with social media and web outreach initiatives, utilizing platforms such as Facebook, TikTok, Instagram, and web design platforms. Demonstrated ability to competently operate projection systems, particularly 35mm film projectors, or possess the capability to learn how to operate them. Basic understanding of DCP transcode procedures and ingesting workflows, or possess the capability to learn how to use them.
