Executive Administrative Coordinator Finance
We are seeking a highly organized, detail-oriented Executive Administrative Coordinator to support our VP of Finance and a 13-member leadership team within a 55-person Finance department. This is a high-visibility role at the center of Finance operations, responsible for driving coordination, communication, and execution across key initiatives.
This position offers the opportunity to play a critical role in supporting strategic financial operations, managing executive priorities, and ensuring the seamless execution of department-wide initiatives.
Key Responsibilities
Executive & Team Support
- Manage complex executive calendars, scheduling, and meeting logistics, ensuring alignment across leadership priorities
- Coordinate internal and cross-functional meetings, resolving conflicts and ensuring efficient use of time
- Support onboarding activities and team coordination to ensure smooth integration of new hires
Treasury & Operational Support
- Monitor and manage the Treasury email inbox, handling bank supply requests and resolving issues such as AP stop payments and voids
- Order, track, and distribute bank supplies and departmental materials, including support for teams outside Finance
Project & Initiative Coordination
- Coordinate and track departmental initiatives, ensuring timely follow-up, accountability, and completion
- Support organization-wide FY27 budget coordination, including communication and distribution of materials across departments
- Assist with external surveys and regulatory reporting by gathering, organizing, and validating required data
Reporting & Documentation
- Prepare leadership-level presentations and documents using PowerPoint and Excel
- Support data tracking, reporting, and analysis through Excel-based tools
- Assist with smaller projects involving data organization, tracking, and compilation
Qualifications
Required Skills & Experience
- 5+ years of experience in an administrative, executive support, or operations coordination role
- Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment
- Strong attention to detail with a high level of accuracy and follow-through
- Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Adobe
