Job Summary

This is an outstanding opportunity to join Adobe as an EX Vendor Specialist, where your work will directly contribute to seamless financial operations. You'll be responsible for completing end-to-end invoice processes, benefit-related payments, and payroll-adjacent funding activities, including 401(k) retirement plans across various regions and employee benefit programs. Success in this role means ensuring payments are accurate, timely, compliant, and ready for audit.

Key Responsibilities

Invoice Operations & Processing

• Manage shared invoice inboxes and ensure service-level agreements (SLAs) are met.
• Review PO and non-PO invoices for accuracy, completeness, attachments, dates, amounts, and coding.
• Submit invoices through Ariba, GEP and Accounts Payable workflows.
• Track invoices through approval, posting, and payment.
• Resolve payment blocks, overdue invoices, banking discrepancies, and approval delays.

Credit Memos, Refunds & Adjustments

• Coordinate supplier credit memos and ensure accurate application to future invoices.
• Manage refunds and validate credits are posted accurately against purchase orders in SAP.
• Collaborate with Accounts Payable and Disbursements to clear credits and resolve discrepancies.

Payroll-Adjacent & Benefit Funding Operations

• Complete bi-weekly 401(k) retirement plan funding aligned to U.S. payroll dates (Vanguard).
• Validate Payroll and Vanguard funding files, wire confirmations, and employer match amounts.
• Approve funding and provide wire instructions within Vanguard systems.
• Complete Deferred Compensation funding (Nolan Financial), including restoration match payments.
• Support Vanguard-related special funding including AIP bonuses and earnings corrections.
• Complete annual HSA employer contribution funding.
• Process regional benefit payments including Mexico meal vouchers, Brazil ICATU life insurance, Healthy San Francisco, and EMEA pension vendors.

Treasury & Wire Execution

• Prepare and submit wire transfers through ServiceNow Treasury and vendor portals.
• Validate payment amounts, value dates, and beneficiary details.
• Digitally approve and release high-dollar wire transactions within required deadlines.
• Communicate wire confirmations to Cash, Payroll, Benefits, and external vendors.

Compliance, Controls & Data Privacy

• Redact employee PII from all documentation prior to submission.
• Follow naming conventions, folder structures, and document retention standards.
• Ensure segregation of duties and adherence to internal financial controls.
• Maintain audit-ready documentation for all transactions.

Collaborator & Vendor Coordination

• Serve as the operational point of contact for benefit and payroll vendors.
• Work closely alongside the Accounts Payable department, Payroll, Treasury, Total Rewards, Compensation, and Business Owners.
• Provide status updates, handle partner concerns, and resolve time-sensitive issues.
• Maintain trackers and reconciliations supporting payroll funding and invoice execution.

Qualifications

Required:

• Bachelor’s degree in Finance, Accounting, Business, or equivalent experience.
• Experience in invoice operations, payroll funding, financial operations, or vendor management.
• Ability to manage time-critical payroll and funding deadlines.
• High attention to detail and discretion with sensitive financial and employee data.

Preferred:

• Experience supporting retirement plan or payroll funding processes.
• Experience with treasury wires and reconciliations.
• Experience partnering with Payroll, Treasury, or Total Rewards teams.

Expected Pay Range:

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $64,900 -- $131,100 annually. Pay within this range varies by work location and may also depend on job-related knowledge, skills, and experience. Your recruiter can share more about the specific salary range for the job location during the hiring process.

At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans. Non-sales roles starting salaries are expressed as base salary and short-term incentives are in the form of the Annual Incentive Plan (AIP).

In addition, certain roles may be eligible for long-term incentives in the form of a new hire equity award.
