Position Title: Administrative Professional
Reports To: Owner/CPA
Employment Type: Full-Time or Part-Time (based on firm needs)

Position Summary

We are seeking a highly organized and detail-oriented Administrative Professional to join our team in Aledo. At Douglas Wegner CPA, our focus is our clients' success. As our Administrative Professional, you will be the first point of contact for the individuals and small business owners we serve, ensuring that their experience with our firm is seamless, efficient, and welcoming.

You will play a vital role in our daily operations, managing client communications, document workflows, and scheduling. If you are a proactive professional who values accuracy and thrives in a supportive, client-focused environment, we would love to meet you.

Key Responsibilities

  • Client Experience: Serve as the primary point of contact for clients via phone, email, and our client portal. You will ensure every client feels valued and supported.
  • Workflow Management: Utilize TaxDome to manage client portals, track workflow statuses, and monitor document submissions.
  • Administrative Support: Coordinate engagement letters, organizers, billing, and document requests.
  • Calendar Management: Manage the CPA’s calendar and coordinate client appointments.
  • Tax Season Readiness: Assist with tax season logistics, including tracking deadlines, e-signature requests, and document organization.
  • Operational Duties: Process incoming/outgoing correspondence and assist with basic bookkeeping or special projects as needed.

What We Are Looking For

  • Experience: At least 2 years of administrative experience, ideally within a CPA, accounting, or professional services firm.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with TaxDome is highly preferred.
  • Communication: Exceptional verbal and written communication skills with a professional, friendly demeanor.
  • Detail-Oriented: You take pride in accuracy, organization, and the ability to manage multiple priorities without letting details slip through the cracks.
  • Discretion: We handle sensitive financial information; absolute confidentiality and professional integrity are non-negotiable.

Bonus points if you have experience with QuickBooks Online or familiarity with tax office workflows.
