Senior Project Manager
San Francisco, Southern California, or Central Valley
The Immigrant Legal Resource Center (ILRC) is seeking a full-time Senior Project Manager based in our San Francisco office. Alternatively, candidates in the Southern California or Central Valley area will be considered. This is an exempt position that reports to the Directing Attorney. This position is supported by a grant, and continuing employment might be impacted by the availability of future funding.
The ILRC currently has a hybrid work model requiring two in-office days per week.
Who We Are:
The ILRC is a leading immigrant rights organization headquartered in San Francisco with staff in Washington, D.C., Texas, Southern California, the Central Valley of California, and Washington state. Since 1979, our mission has been to educate, support, and empower immigrants, community organizations, and legal practitioners to build a more just, inclusive, and democratic society. Our team is passionate, collaborative, and committed to equity and innovation in all we do. Additional information about our organizational values is available here.
The Opportunity:
This position offers an opportunity to join a mission-driven team dedicated to strengthening California-based projects that advance legal, outreach, and social services for immigrant families. The ideal candidate will oversee implementation, compliance, and reporting across several projects advancing immigrant rights. This includes supervising project staff, coordinating efforts of multiple internal departments on implementation, and engaging with external partners, funders and state agencies.
Job Responsibilities:
The Senior Project Manager’s primary goals are to ensure overall management of projects for which the ILRC serves as Program Administrator. The Senior Project Manager will lead at least one large project as well as oversee, coordinate, and track effective administration and coordination across multiple projects. The specific duties of this position include, but are not limited to, the following:
Manage program administration
- Monitor and ensure necessary project progress in close coordination with respective project teams and ILRC programs
- Ensure internal ILRC coordination of various project components as well as alignment across ILRC programs and with other relevant ILRC projects.
- Develop and strengthen internal systems to improve efficiency, transparency, communication, and collaboration
- Supervise project staff and provide professional development support and relevant tools
- Plan and contribute to strategic planning discussions to ensure projects are responsive, leverage resources effectively, and are poised to grow
- Participate in regular remote and in-person team, funder, partner, and stakeholder meetings
- Maintain current understanding of project goals and initiatives, focus areas, successes, and overall results to communicate to partners and funders effectively
- Identify opportunities to engage ILRC programmatic staff and facilitate collaboration across internal teams
Oversee subgranting and reporting
- Work collaboratively with finance, grants, and administrative teams to ensure systems to execute timely subgrantee agreements and payments
- Provide analysis and oversight of subgranting process and budget, including partner expense reports and payments
- Work collaboratively with internal teams and consultants to support the design and effectiveness of reporting portals
- Oversee the collection of data, drafting of findings, and timely submission of reports to funders
- Serve as liaison for communicating data and findings to funders and internal ILRC teams, including best practices and trends identified
Qualifications: We seek candidates who have outstanding communication and interpersonal skills, organizational skills, data analysis skills, project management skills, high attention to detail, ability to collaborate effectively, and commitment to advancing the power of immigrant communities. To be most successful in this role, you must:
- Have program management and non-profit experience, preferably related to grants compliance and administration;
- Experience managing large and complex projects with the ability to take initiative and hold primary responsibility for overall coordination and implementation. Holding a PM certification is a plus;
- Have the ability to collaborate cross-departmentally; appreciate working as part of a team; be able to problem solve; and enjoy the initial building phase of a new project;
- Have excellent oral and written communication skills, including strong facilitation skills and presentation skills, report writing skills, and the ability to communicate complex data, findings, and ideas clearly;
- Have advanced aptitude for complex data analysis and experience managing and analyzing large data sets;
- Have advanced Excel skills including usage of and experience creating formulas, graphs and pivot tables as well as some knowledge of data visualization principles and tools;
- Have a strong knowledge of Microsoft 365 products including Excel, SharePoint, Word and PowerPoint;
- Experience working in databases; Salesforce experience in particular is a plus;
- Bachelor's degree plus a minimum of ten years of relevant experience;
- Have at least three years of supervisory experience;
- Be passionate about immigrant rights;
- Preferably have familiarity with immigration legal services;
- Preferably have previous experience working with or in government agencies;
- Be able to travel throughout the state of California at least once a month; and
- Support the organization in other duties as assigned.
Compensation/Benefits:
Pay is extremely competitive for the field and commensurate with experience. The salary range for this position is $125,000 to $140,000 depending on experience. The ILRC offers excellent benefits, medical/dental/vision insurance, Employee Assistance Program (EAP) sessions, a flexible spending account for medical and dependent care, vacation, and sick leave. The ILRC also sponsors a retirement plan contribution upon fulfillment of eligibility. Additionally, we offer an annual professional development stipend of $2,500 and, from 2024 – 2027, an annual wellness stipend of $2,500. ILRC also offers a sabbatical program: employees are eligible to apply for an 8-week sabbatical after five years of service and a 12-week sabbatical after ten years of service.
Applications:
This position will remain open until it is filled and is currently available. We will consider applications on an ongoing basis beginning immediately. To ensure consideration of your application, please submit a cover letter explaining your qualifications for the position, your salary requirements, a current resume, a writing sample, and the contact information for three professional references, one of which must be a supervisor.
