Immigration Legal Assistant - In Person - Downtown Miami

HarrisLaw, P.A., a highly rated immigration law firm led by a Florida Bar Board Certified immigration attorney, is seeking a full-time Immigration Legal Assistant to work in person at our Downtown Miami office . This is an in-office position. Remote and hybrid work are not being offered. Applicants should currently reside in Miami-Dade County and be able to commute reliably to Downtown Miami. Our firm represents businesses, entrepreneurs, investors, professionals, and families in U.S. immigration matters. We are looking for someone who is organized, accurate, technologically capable, comfortable communicating with clients, and able to learn new systems quickly. Our firm's processes continue to evolve as we adopt artificial intelligence and other modern legal technology. We do not expect an entry-level candidate to already know every system we use. We do expect the person we hire to be comfortable learning technology, following detailed procedures, checking their own work, and adapting as our processes improve. What You Will Do Responsibilities include: Prepare immigration forms and applications using immigration case-management and form-filling software. Enter information accurately into government and law-firm forms. Review forms for completeness and consistency before attorney review. Assist with preparation of USCIS and other immigration filings. Print, assemble, organize, tab, and quality-check filing packages. Collect, download, save, rename, and organize client evidence. Prepare and manage PDF documents using Adobe Acrobat. Combine, separate, reorder, bookmark, and otherwise organize PDF evidence. Assist with exhibit lists, filing indexes, tables of contents, and other document-production tasks. Upload and maintain documents in the firm's electronic systems. Communicate professionally with clients by email, telephone, Microsoft Teams, and other firm-approved systems. Follow up with clients regarding documents, signatures, forms, and missing information. Maintain organized electronic files and client records. Use AI-assisted workflows, including ChatGPT and ChatGPT Work, after training provided by the firm. Review AI-assisted work carefully and verify names, dates, numbers, citations, and source documents before relying on the result. Assist attorneys and other team members with case-related administrative and document-production work. Technology and Learning Ability Are Important This is a computer-intensive position. The person we hire should be comfortable using technology throughout the workday and should be able to learn unfamiliar software without excessive supervision. Our systems may include: Microsoft Outlook Microsoft Teams Microsoft Word Microsoft Excel Adobe Acrobat Immigration form-filling software Immigration case-management software Cloud-based document-management systems ChatGPT ChatGPT Work Other AI-assisted and legal technology adopted by the firm Prior experience with ChatGPT Work is not required. Training will be provided. What is important is that you: Learn new software quickly. Are comfortable experimenting with unfamiliar technology. Can follow written and demonstrated procedures. Can break a task into logical steps. Know when to ask a focused question. Check computer-generated and AI-generated work instead of assuming it is correct. Are interested in using technology to work more accurately and efficiently. Typing and Computer Efficiency This position requires substantial typing and computer use. Touch typing is strongly preferred. Applicants should be able to type accurately without constantly looking at the keyboard. 40 words per minute is the expected minimum. 50+ words per minute is preferred. A typing test may be administered during the interview process. We are more interested in accurate, efficient computer work than in a particular typing technique, but slow keyboard skills can make it difficult to succeed in this position. Required Qualifications Currently resides in Miami-Dade County or can demonstrate a reliable daily commute to Downtown Miami. Available for full-time, in-person employment. Strong written and spoken English. Strong computer skills. Ability and willingness to learn new software and AI-assisted workflows. Strong attention to detail. Ability to organize large numbers of electronic documents. Comfortable working extensively with PDF files. Ability to communicate professionally with clients. Ability to follow detailed procedures, checklists, and attorney instructions. Ability to manage multiple assignments and deadlines. Strong keyboard and computer-navigation skills. Preferred Qualifications Any of the following may strengthen an applicant's candidacy but are not required: Bachelor's degree. Associate's degree or some college education. Paralegal studies or related coursework. Prior law-office experience. Prior immigration-law experience. Experience preparing immigration or government forms. Adobe Acrobat experience. Experience with Microsoft Outlook and Teams. Experience using AI tools such as ChatGPT. Spanish fluency or strong professional proficiency. Strong touch-typing ability. Compensation Expected starting range: approximately $21.00 to $26.00 per hour, depending on qualifications, experience, technology skills, typing ability, education, language skills, and demonstrated ability to learn. Adobe Acrobat and Microsoft Office experience. Technology aptitude. Ability to learn unfamiliar software quickly. Experience working with AI tools. Quality of written communication. Performance on practical skills exercises during the interview process. A candidate who requires substantial training may start toward the lower end of the range. A candidate who demonstrates strong technology skills, excellent typing, professional writing ability, good judgment, and relevant legal experience may qualify toward the higher end. Compensation may be reviewed after successful completion of the firm's introductory employment period and periodically thereafter.
