Property Administrator
The Property Administrator supports the daily operations of a commercial property management team by providing comprehensive administrative, tenant, vendor, and financial support. This role ensures smooth property operations, helps maintain high levels of tenant satisfaction, and assists with leasing, accounting, and facilities coordination in a fast-paced office environment. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities while delivering excellent customer service.
Responsibilities
- Provide comprehensive administrative support, including answering phones, managing correspondence, filing documents, and preparing reports.
- Schedule and coordinate meetings, events, and special projects to support property management activities.
- Maintain organized property, lease, and contract files to ensure accurate and accessible records.
- Monitor office supplies and operational resources and ensure they remain adequately stocked.
- Serve as a primary point of contact for tenant inquiries, service requests, and general communications.
- Assist with lease administration activities, including maintaining tenant records and insurance documentation.
- Monitor and track tenant work orders, ensuring timely follow-up, resolution, and documentation.
- Prepare monthly reports related to tenant service requests and overall property operations.
- Assist with vendor bidding processes, service agreements, and contract administration.
- Maintain contract and certificate of insurance records, including tracking renewal and expiration dates.
- Ensure accurate completion and entry of contract documentation within designated software systems.
- Support vendor communications and help ensure compliance with contract and insurance requirements.
- Prepare, code, and process invoices for approval in accordance with established procedures.
- Maintain purchase order records and tracking systems to support operational and financial accuracy.
- Process expense reports, check requests, tenant bill-back invoices, and other administrative accounting tasks.
- Assist with monthly and quarterly reporting as well as annual budget preparation for the property.
- Support payroll-related administrative processing for property and maintenance staff.
- Collect and report utility and meter readings as required for operational and billing purposes.
Essential Skills
- High School Diploma or GED.
- 02 years of experience in customer service, hospitality, or administrative work.
- Strong organizational and administrative skills with the ability to manage multiple tasks and priorities.
- Excellent verbal and written communication abilities for interacting with tenants, vendors, and internal teams.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to manage confidential information with discretion and professionalism.
- Strong customer service and interpersonal skills with a positive, service-oriented attitude.
- Ability to work effectively in a fast-paced office environment and respond promptly to requests.
Additional Skills & Qualifications
- Experience in a commercial property management, real estate, or facilities environment is beneficial.
- Familiarity with tenant work order systems or property management software is an advantage.
- Experience supporting basic accounting or invoicing processes is helpful.
- Demonstrated ability to coordinate meetings, events, or special projects.
- Comfort working with contracts, insurance documentation, and vendor records.
Work Environment
This role operates in a professional, fast-paced office environment within a commercial property setting. The Property Administrator works closely with property management, maintenance staff, tenants, and vendors, primarily using computer-based systems and Microsoft Office Suite to manage records, communications, and reporting. The position involves frequent phone and email communication, coordination of meetings and events, and regular interaction with tenants and service providers. Standard business hours typically apply, with occasional flexibility needed to support key deadlines, reporting cycles, or special projects. The environment emphasizes organization, accuracy, and responsiveness, with a focus on delivering courteous and efficient service to all stakeholders.

Pay and Benefits
The pay range for this position is $28.00 - $30.00/hr.
