Marketing Ops Specialist: Streamline Projects & Data

Documentation & Process Management Summary: Create and maintain comprehensive documentation that enables team efficiency and consistency across agency operations. Responsibilities: Develop and maintain SOPs, process documentation, and playbooks for agency operations Maintain centralized knowledge base for agency tools and processes Design training materials and user guides for team members Exceptional writing skills with ability to create clear, concise documentation Strong organizational skills and systematic approach to information management Role 2. Project Coordination & Communication Summary: Facilitate information flow between teams and ensure alignment across operations, account and sales. Responsibilities: Serve as primary contact for project intake, resourcing and project timeline development Lead project kickoffs and project wrap up, including archiving files Track project dependencies and proactively flag risks or delays If needed, liaise with vendors, agencies, and contractors on deliverables and timelines Collaborative approach to managing competing priorities Proven ability to manage multiple concurrent projects and meet deadlines Flexibility and adaptability to changing priorities Proactive problem-solving skills and resourcefulness Experience with project management tools (Teamwork, Asana, Monday.com or similar) Role 3. Reporting, Tracking & Performance Monitoring Summary: Maintain systems for tracking activities and provide visibility into team performance through regular reporting. Responsibilities: Track project progress and monitor milestones Maintain project management systems with accurate, up-to-date information Generate reports on resource allocation, team workload, and capacity Strong analytical skills with ability to interpret data from multiple sources Advanced proficiency in Google Suite Experience with project management tools (Teamwork) and reporting dashboards Attention to detail and commitment to data accuracy Role 4. Operations Department Support Summary: Provide insight on department utilization and budgets. Responsibilities: Oversee bandwidth management and utilization Maintain accurate budget reporting and forecasting Assist in developing project estimates and pricing for new capabilities Track marketing budget expenditures and vendor invoices Exceptional organizational skills and ability to proactively identify issues Strong interpersonal skills and experience building relationships across diverse teams Deksia is an equal employment opportunity provider.
