Position Summary The Probate Paralegal provides comprehensive legal support throughout the probate and estate administration process. Working closely with attorneys, clients, courts and other members of the legal team, this position supports probate matters through client intake, case preparation, legal drafting, court filings, case management and client communication. The Probate Paralegal prepares probate pleadings, correspondence, deeds, affidavits and other legal documents, coordinates court filings, monitors deadlines and tracks case progress to ensure matters remain organized, deadlines are met and cases progress efficiently. This position gathers and maintains client and estate documentation, follows up on outstanding information, assists attorneys with case preparation and communicates with clients regarding case status, documentation and next steps. The Probate Paralegal manages multiple matters simultaneously while maintaining accurate case records, protecting confidential information and providing timely support to the legal team. Success in this role requires exceptional organization, attention to detail, communication and follow-through, along with the ability to work collaboratively, respond well to direction and feedback and provide professional, compassionate client service. Salary - $55,000 - $70,000 Working Hours W 8:00 am – 5:00 pm, Onsite F 8:00 am – 12:00 pm, Optional Remote Holidays Holidays observed in accordance with the federal holiday calendar Flexible work schedule may be requested after 90 days of successful employment QSEHRA health benefit of up to $600 per month SEP IRA contribution of up to 25% of salary annually beginning in the third year of employment 10 days of paid time off and 48 hours of paid sick time per year Bachelor’s degree from an accredited university preferred but not required. Law firm experience preferred. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Proficiency in Microsoft Office. Ability to work effectively within a team while demonstrating receptiveness to direction and feedback. Dependable, motivated and committed to producing high-quality work. Valid driver license with acceptable driving record. Prepares and drafts probate and guardianship pleadings, petitions, applications, notices and other legal filings under attorney direction. Drafts correspondence, emails and other communications to clients, courts, attorneys and other parties. Coordinates client intake, including gathering information and documentation necessary to open and administer probate matters. Schedules client meetings, consultations, hearings and other appointments. Prepares deeds, affidavits, waivers, notices and other estate-related documents. Handles and coordinates court filings, ensuring documents are complete, accurate and submitted in accordance with applicable deadlines and requirements. Monitors case deadlines, court dates, filing requirements and other important probate milestones. Tracks the progress of assigned probate matters from initiation through completion and maintains accurate case records. Communicates with clients regarding case status, outstanding documentation, deadlines and next steps. Requests, collects and organizes documents and information from clients, beneficiaries, financial institutions, government agencies and other relevant parties. Reviews documents for completeness, accuracy and consistency prior to attorney review and filing. Maintains organized electronic and physical case files in accordance with firm procedures. Assists attorneys with preparation for hearings, conferences and other probate proceedings. Communicates with courts, court clerks, opposing counsel, title companies and other professionals as directed. Follows up on outstanding filings, court correspondence, client documentation and other case requirements. Maintains calendars and case management systems to ensure deadlines, appointments and follow-up items are properly tracked. Assists with estate administration and the completion of matters, including preparation of final documents and required filings. Identifies missing information, potential issues and upcoming deadlines and communicates them promptly to the appropriate attorney or team member. Maintains strict confidentiality of client information, estate records and other sensitive matters. Supports attorneys and other team members with administrative and legal tasks as needed.
