Business Office Manager

Position Overview The Business Office Manager (also known as the Finance Coordinator) is responsible for overseeing resident accounts, private pay billing, Medicaid application processing, financial documentation, and business office operations. This role works closely with residents, families, department leaders, and the facility Administrator to ensure accurate financial management and exceptional customer service. Key Responsibilities Business Office Operations Oversee the daily operations of the facility's business office. Maintain accurate resident financial records and census information. Process private pay billing and monitor outstanding accounts. Ensure timely collection of resident payments and account reconciliation. Medicaid & Financial Assistance Collect and review financial documentation for Medicaid applications. Assist residents and families in navigating the Medicaid application process. Communicate financial obligations and payment options clearly and professionally. Maintain compliance with federal, state, and facility financial regulations. Resident & Family Relations Meet with residents and family members regarding billing and financial matters. Provide exceptional customer service while maintaining confidentiality. Resolve billing concerns in a timely and professional manner. Administrative Responsibilities Work collaboratively with the Administrator and interdisciplinary team. Prepare reports, maintain documentation, and assist with audits as needed. Perform additional business office responsibilities as assigned. Qualifications Previous experience as a Business Office Manager, Business Office Coordinator, Finance Coordinator, or similar administrative role preferred. Experience in long-term care, skilled nursing, rehabilitation, or healthcare billing strongly preferred. Knowledge of Medicaid eligibility and application processes is highly desirable. Strong organizational, analytical, and problem-solving skills. Excellent communication and customer service abilities. Proficiency with Microsoft Office and computerized billing systems. Ability to manage multiple priorities while maintaining a high level of accuracy.
