Commercial Services Specialist II (Manheim)

Job Summary Commercial Services Specialist II – Individual Contributor, part of Cox Automotive’s Vehicle Operations. Provide comprehensive support to numerous account holders, identify enhancement opportunities, run and analyze reports, and maintain high levels of client service at high‑revenue locations. Key Responsibilities Offer direct support and communication to account holders, understanding their requirements and challenges. Coordinate with national account representative to prepare and audit sale vehicle run processes, including run order scheduling, customer notice, vehicle repairs, charge posting, reporting, invoicing, etc. Monitor vehicle sales processes, ensuring accurate communication with stakeholders and overall positive client experience. Develop positive relationships with clients and educate them on auction processes, vehicle availability, and sale preparation. Examine vehicles in the sales lineup using various programs to verify inventory specifications, identify missing vehicles, and collaborate with representatives to prepare vehicles for sale with imaging and announcements. Coordinate vehicle transportation, ensuring timely delivery and resolution of emerging issues. Review Condition Reports for required announcements (e.g., Structural, Flood, Unknown Miles, NAAA mileage guidelines, Branded Title, Manufacturer’s Buyback). Prepare file jackets for client audits, ensuring proper documentation and invoicing. Act as liaison between clients and all auction departments. Collaborate with Accounts Receivable to post accurate charges, process and send invoices, and pursue collections. Prioritize tasks effectively within the auction lifecycle. Minimum Requirements High School Diploma/GED and 3years of related experience, or 5years of related experience. Prior clerical or administrative experience. Proficiency in Microsoft Excel. Ability to operate adding machines and other office equipment (e.g., copier, fax machine). Ability to sit or stand for prolonged periods. Valid driver’s license; safe driving record required. Current authorization to work in the United States (no OPT, CPT, STEM/OPT, or visa sponsorship). Preferred Qualifications 1–3years of clerical or administrative experience in the automotive industry. Drug Testing Pre‑employment drug testing is required. Cox Automotive does not administer marijuana testing for this position.
